POSITION PURPOSE

The Department Supervisor is responsible for the employees and daily activities of the statement and courier department. This includes planning, organizing, scheduling, and the directing the activities within the department. The Department Supervisor develops and maintains departmental policies and procedures and ensures that all activities within the department are conducted in accordance with established standards. The Department Supervisor is responsible for providing solutions and effective resolutions for all processes and problems arising from those processes. The Department Supervisor ensures that services are delivered professionally, efficiently, and courteously.

ESSENTIAL FUNCTIONS AND BASIC DUTIES

  • Assumes responsibility for the development and implementation of effective policies, procedures, and planning.
  • Assists Management in developing short and long-term goals and plans for their department. Provides suggestions and recommendations.
  • Assists in developing policies, procedures, and standards for their department. Conducts periodic reviews of existing policies and procedures to ensure that they are effective and current.
  • Executes established operational goals and ensures that corporate-wide plans and programs are complemented and supported.
  • Assumes responsibility for the effective and efficient completion of processing functions.
  • Monitors and evaluates work quality, efficiency, and productivity. Ensures that completed work is of the highest quality. Provides suggestions for improved service delivery. Seeks new methods to accomplish Department duties.
  • Tracks workflow, ensures that deadlines are met, and that records are complete and accurate.
  • Coordinates, schedules, and directs Department functions. Schedules leaves and ensures adequate personnel coverage. Oversees all department related projects.
  • Effectively supervises Department staff, ensuring optimal performance.
  • Provides leadership to Department personnel through effective objective setting, delegation, and communication. Conducts staff meetings as required and informs personnel of policy and procedural changes. Discusses areas needing improvement and encourages employee suggestions and ideas.
  • Ensures that personnel are well trained, effective, and optimally used. Identifies training needs and develops appropriate training programs. Conducts training sessions and cross-trains as appropriate.
  • Ensures that staffing levels are adequate.
  • Conducts performance appraisals as required. Establishes goals with each employee. Formulates and implements corrective actions as needed. Completes salary reviews.
  • Assists and supports personnel as needed.
  • Assumes responsibility for ensuring that professional business relations exist with customers, vendors, and trade professionals.
  • Represents the Bank in contacts with business and trade professionals.
  • Ensures that requests, questions, and problems are courteously and professionally resolved.
  • Ensures that the Bank's reputation is maintained both internally and externally.
  • Assumes responsibility for establishing and maintaining effective communication and coordination with Bank personnel and with management.
  • Assists and serves branches and departments as needed.
  • Keeps Management informed of area activities and of any significant problems.
  • Completes reports, records, and other documentation as required. Prepares a comprehensive monthly report on Department activities
  • Assumes responsibility for related duties as required or assigned.
  • Ensures that work area is clean, secure, and well maintained.
  • Completes special projects as assigned.

PERFORMANCE MEASUREMENTS

Department functions are effectively and efficiently completed in accordance with established Bank policies, procedures, standards, and related program and legal requirements.

Productivity and quality goals and deadlines are met and work is of high quality. Suggestions for improved service delivery are developed and implemented.

Department policies and procedures are regularly reviewed and modified as needed. Appropriate Departmental and employee goals are formulated.

Accounts, records, and documents are complete and accurate.

Department personnel are well trained, effective, efficiently utilized, and well supervised. Assistance is provided as needed.

Professional business relations exist with customers and external trade contacts. Questions and problems are promptly and courteously resolved. Assistance is provided as needed.

Effective working relations and coordination exist with related departments and branch personnel. Support is provided as required.

Management is appropriately informed of area activities and of any significant concerns.

Qualifications

EDUCATION/CERTIFICATION: High School Diploma or equivalent.

Required Knowledge

General banking knowledge and banking operations knowledge are preferred.

Operational knowledge, as specifically related to the department, is preferred.

Good knowledge and working ability of Microsoft office products, especially Excel and Word.

EXPERIENCE REQUIRED: Minimum of 2 years of bank operations is preferred, and experience with software used within the department is preferred.

Excellent problem-solving skills with the ability to provide sound solutions.

Ability to follow established policies and procedures and direct others to do so.
