Job Summary
The Events Coordinator duties include organizing and managing departmental events, seminars, and recruitment activities. This role supports faculty, staff, and students by coordinating logistics, managing communications, and ensuring successful execution of departmental events. This position also provides support for web communications (general and events-related) and other administrative tasks, such as room scheduling.
The Events Coordinator will report to the Molecular, Cellular, and Developmental Biology (MCDB) and Mathematics Chief Administrators and work closely with the staff, faculty and students in both departments.

60% Event Coordination:
- Plan and Execute Events:
- Organize and manage logistics for a variety of events, including departmental seminars, workshops, conferences, faculty meetings, and community outreach activities as needed.
- Develop collaborative relationships with faculty, graduate students, and staff in order to develop a better understanding of the needs of programs to create effective outreach content and enhance the quality of event initiatives
- Vendor & Travel Coordination: Manage service relationships, including catering, venue arrangements, and travel and hosting arrangements.
- Budget Management: Work within allocated budgets for events; track expenditures and reconcile with department financial staff.
- On-Site Management: Oversee day-of logistics, including set-up, registration, troubleshooting, and post-event breakdown.
- Post-Event Reporting: Collect feedback, manage follow-up tasks, and analyze event success to implement improvements.
- Promotion and Communication: In collaboration with departmental Web & Communications staff, create promotional materials and manage event communication through emails, posters, website announcements, and organize social media initiatives.
- Diversity and Inclusion Initiatives: Support efforts to attract diverse talent and foster an inclusive environment for students, staff, and faculty members.
- Website Development and Support / Backup: Assist with department and faculty website support issues as needed (in collaboration with Web & Communications staff).
- Update Happenings for events.
- Review / update room scheduling guidelines (forms, policies) online as needed.
- Room Scheduling: Assist MCDB and MATH faculty, staff, and students with room reservations in the departments respective buildings and across campus.
- Database and Record Keeping: Maintain accurate (current and historical) records of events, vendor contacts, recruitment efforts, and related budgets.
- Committee Support: Assist faculty and departmental committees involved in recruitment and event planning as needed.
- High school diploma;
- Two-four years of administrative experience;
- Ability to manage multiple projects at once;
- Strong communication and grammatical skills are required.

Please note: This position is 100% (40 hrs./wk.) for 9 months of the year (August 15 to May 15), with summers off (May 16 to August 14). This role requires a blend of remote, office, and on-site event work. Some evening and weekend hours may be required based on event schedules. The work is hybrid (in person and remote).
Modes of Work

Additional Information
The salary range is $40,000 - $50,000. Please note a higher salary may be offered based on equity and the selected candidate's experience.
