We are a multi-location Oral and Maxillofacial Surgery group looking for the right Patient Treatment Coordinator.

Must meet the following requirements to be considered for an opportunity to work with us.

  • Ability to multi task in fast paced environment.
  • Oral surgery experience is preferred. Will consider other dental specialty experience. At least one year experience working in the dental field.
  • Must possess the following skills: Computer & technical; written and verbal; proficiency with Microsoft Word, Excel & Outlook; initiative, judgment, problem solving and decision making; Ability to follow instruction & policy, organization and follow up.
  • Knowledge of the dental & healthcare system, including scheduling for production, treatment presentation, insurance benefit explanation, dental procedures, reporting to and communication with physicians and staff.
  • Provide medical administrative support by maintaining accurate records and documentation.
  • Utilize medical terminology to communicate effectively with healthcare professionals.
  • Position requires traveling to sister locations to cover as needed.
  • Excellent phone etiquette

Responsibilities:

  1. Greets patients , primarily answers phones & schedules appointments.
  2. Assigned to & responsible for doctors schedules:
    • Confirms appointments according to office policy
    • Follows up & reschedules patients who have cancelled or missed appts.
    • Schedules & confirms lunches and doctor personal appts
    • Runs nightly follow up call list
    • Prepares routing slips in advance & obtains all necessary paperwork before patient’s arrival
    • Runs recall list the first and 15th of the month and schedules patients according to scheduling policy
    • Prepares morning meeting notes
  3. Schedules patients according to practice Production Goals; and maintains individual doctor’s production.
  4. Schedules patients according to Scheduling guidelines and follows block template.
  5. Alerts staff & doctor when patients arrive & are ready to be seated, or patients added to or cancelled from the schedule.
  6. Prepares patient check in, verify reason for visit, including insurance cards, referrals and x-rays patient brings to appointment.
  7. Scans paperwork into patient accounts
  8. Checks all patients in for surgery (i.e. pre-surgical checklist)
  9. Reviews completed patient registration & health questionnaire for completeness
  10. Collects co-payment
  11. Understands office Financial Policy
  12. Answer any administrative questions or concerns patients may have, or directs patient to Front Office Supervisor, if unable to help
  13. Maintain an excellent telephone relationship with referring offices.
  14. Receive & distribute incoming faxes as needed.
  15. Maintain a clean reception area.
  16. Retrieve & return calls from answering service.
  17. Sorts out emails according to office protocol.
  18. Covers for other PCs at sister locations as needed.

-Full Time Monday through Thursday 8:00am-5:00pm and Friday 8:00am-2:00pm. Occasional commute required to our sister locations as needed.
