Qualifications

Proven experience in club, bar, or hospitality management. Strong leadership, communication, interpersonal and organizational skills. Bi-lingual Spanish/English preferred. Ability to work flexible hours, including evenings and weekends. Familiarity with Elks Lodge operations is a plus.

Rentals

Responsible for the entire rental process including community outreach and sourcing of potential renters, serving as primary contact for timely communications, monitoring and response to all rental inquiries (phone/text, online website, email and office calls), management of rental website and calendar (reconciling with Lodge master calendar), meetings with potential renters and scheduling walk-throughs. Maintain ongoing communication with the renter throughout the process, ensuring contracts are prepared and executed, deposits and final payments are processed. Obtain necessary city permits, book security services, insurance and order linens as needed. Provide event floor plan to staff for setup. Ensure bar and janitorial staff scheduling for each event. Attend and oversee all rental functions (or designate a representative approved by the Exalted Ruler of the Lodge). Ensure kitchen use is in accordance with rental contract. Maintain regular communication with the Lodge office (Secretary and Admin) to ensure proper filing of contracts and direction of payment activity.

Upon rental completion, perform a final walk-through with the renter to assess potential damage and to determine deposit refund. Identify any repairs needed and advise Trustees of any applicable required maintenance. Advise office of necessary payments due post-rental, including deposit to renter, security, insurance, and bartender payments as applicable.

Lodge Management

Maintain a welcoming and professional environment for members and guests, ensuring staff members do the same. Oversee beverage services ensuring exacting standards of quality, efficiency and in compliance with health, safety, and liquor regulations. Ensure both bars, kitchen, storerooms, and any other necessary location(s) are cleaned and stocked on a regular basis. Contact our linen contractor for any linen needs for lodge functions (rentals and member events). Provide floor setup (table and chairs) for staff as needed for Lodge member events. As requested by the Exalted Ruler, will assist with ensuring proper closure of the bar and lodge during lodge member events. In partnership with Lodge Trustees, monitor the financial performance of the bar, including budgeting and inventory management. Periodically attend House/Trustee meetings to give rental status updates, bar activity reporting, suggest price modifications for rentals, beverages/items being sold. Oversee administration of Lotto machines, activity, and maintenance.

Staffing

Assist with recruitment, hiring and training of bar and janitorial staff. Supervise, oversee performance management, establish, maintain, and communicate schedules for employees. Ensure CA wage and hour compliance including schedule adherence and taking required breaks and lunches. Relieve bartenders and/or work bartender shifts as needed. Ensure bartenders are current with necessary certifications and are aware of current ABC laws. Ensure janitors have proper training and tools needed to complete their tasks.
