Hospitality Associate

The Hospitality Associate is responsible for supporting the seamless execution of events, meetings, and conference room setups while delivering exceptional service to clients and colleagues. This role emphasizes preparing, maintaining, and resetting meeting spaces, assisting with catering logistics, and ensuring all hospitality standards are met. The associate will also flex into other hospitality-related roles, including guest services and café support, as needed.
The work schedule is Monday through Friday, 8:00 a.m. to 5:00 p.m., with a one-hour lunch break.
Key Responsibilities
Conference Room Setup and Maintenance
- Set up and break down meeting and conference rooms according to client specifications, ensuring accurate arrangement of furniture, technology, and supplies.
- Reset conference rooms promptly after meetings to ensure readiness for subsequent use.
- Inspect and maintain all conference areas, ensuring cleanliness and proper functionality of AV and other equipment.
- Replenish meeting room supplies, such as water, notepads, and pens.
- Coordinate with external vendors for specialized setups or equipment needs.
Event and Catering Support
- Assist with the setup, execution, and breakdown of catered events, including food and beverage preparation and service.
- Act as a point of contact for event hosts, addressing real-time needs and troubleshooting issues as they arise.
- Ensure compliance with safety and service standards, including responsible alcohol service during events.
- Facilitate post-event cleanup, including proper disposal of waste and storage of materials.
Hospitality Services
- Provide guest services support as needed, creating a welcoming environment for clients and colleagues.
- Flex into Café operations, preparing and serving light food and beverages, maintaining cleanliness, and assisting with inventory management.
- Operate as a barista, using professional equipment to prepare coffee, tea, and specialty beverages when required.
Additional Responsibilities
- Report maintenance or technical issues promptly to the Catering Manager or relevant department.
- Maintain compliance with food safety and sanitation standards; complete necessary certifications such as SERV Safe, if required.
- Perform other duties as assigned to support the overall success of the hospitality team.
Qualifications
- Proven experience in hospitality, event coordination, or guest services roles.
- Strong organizational and multitasking skills, with excellent attention to detail.
- Effective communication skills, both written and verbal, with a customer-focused approach.
- Ability to thrive in a fast-paced environment with changing priorities.
- Basic familiarity with Microsoft Office applications and AV equipment; troubleshooting experience is a plus.
- Knowledge of food safety and sanitation protocols preferred; SERV Safe certification is a bonus.
- Ability to lift/move up to 50 lbs. and stand for extended periods.
- Flexible, proactive, and team-oriented with a pleasant and professional demeanor.
