Orders Specialist
Location: Remote: Local to Goldsboro, NC
Hours: Full-time
Summary:
The Orders Specialist is responsible for obtaining signed orders per agency policy to facilitate timely billing of services. This will include the Plan of Care, Interim Orders, and Face to Face Encounter documentation. This position is responsible for submitting Medicare cases (Start of Care and Recerts) to QIRT to review for OASIS accuracy and coding.
Qualification Requirements
• High School Diploma or equivalent required
• Associate's Degree in Medical Office Administration, or clerical related field preferred
• At least 3-years experience in a clerical role/position
• At least one-year experience in healthcare preferred
• Working knowledge of current software relating to position
• Ability to work independently
• Working knowledge of medical terminology, word, and excel
Functions:

(External customers include our patients, families, referral sources, vendors, the community, etc. Internal customers are the people within the agency with whom you work.) Displays a high degree of courtesy, tact, and knowledge of services provided by the agency in all contact with staff, patients, and visitors.
3. Send out Plan of are once coded and reviewed for physician signatures.
4. Use the Document Manager Report to monitor and follow-up on orders to ensure prompt and timely return of signed/ dated. Physician orders, including the: (a) Plan of Care within 30 days) and (b) Interim Orders within 30 days.
5. Monitors mail log daily by utilizing Document Manager Reports to identify documents not printed, or documents not ready to send or returned timely.
6. Coordinate with health care team members, internal or external, promptly and effectively if changes are needed to the Plan of Care/Interim Orders/F2F documentation; and when assistance is needed from Marketing Team member, with orders being signed by physician. Communicates with office staff to ensure efficiency in working the document manager report.
7. Monitor and design work flow to obtain Face to Face Encounter documentation to support the billing of services as soon as possible following referral/SOC.
8. Utilize 3rd party Healthcare Information Systems to obtain medical records as needed.
9. Ensure McBee is monitored at least three times per week to assist with any identified issues.
10. Knowledgeable of state and federal regulations regarding physician signature/ signing of orders/F2F for home health services.
11. Design workflow process to escalate outstanding orders at appropriate time points and monitor; ensure follow-up notes are entered and current on all outstanding orders; design back up plan for coverage when an Order Specialist is out; track and report outstanding certified orders by office on a weekly basis; initiate teams meetings as needed for collaboration with other staff or departments; forward non-obtained orders write-offs to Director of Revenue Cycle for approval; monitor Suture Sign for timely management of orders; set-up new users in Suture Sign as needed and maintain user database; responsible for training new Order Specialist(to include Suture Sign and McBee); approve Order Specialists timesheets in a timely manner.
12. Demonstrates appropriate telephone etiquette and customer service during all phone conversations.
13. Demonstrates an interest in personal and professional growth for self and staff: (a) attends and participates in workshops, seminars, webcasts to keep abreast of current changes in rules, regulations, relating to job functions and department; (b) does individual reading and research; and (c) recommends educational opportunities for staff and encourages participation.
14. Demonstrates a willingness to be cost effective in the use of agency resources, the monitoring of waste, and the proper and safe use of supplies and equipment.
15. Adheres to 3HC's Personnel Policy and performs other appropriate duties as assigned by supervisor to promote the successful operations and future growth of 3HC.
