Operations Associate I

Position Summary
This position is responsible for providing quality customer service to donors, beneficiaries, shareholders, service partners, and staff members in an efficient and timely manner.
Scope & Breadth of Position
This position reports to the Operations Manager, Administrative Services and has no reporting staff.
Accountabilities
· Receive and respond in a timely manner to incoming calls and correspondence from donors, beneficiaries, shareholders, service partners, and staff members.
· Responsible for the accurate and timely creation of new accounts and relationships in the trust accounting system, online viewing system, and client relationship management system.
· Promote good will and positive image of the organization.
· Complete research and resolve discrepancies on client issues.
· Coordinate with other units in Operations to improve process workflow by analyzing needs and eliminating duplication.
· Support Administrative Services team with Verification of Funds communication follow-up. Reach out to identified organizations that have not responded or have provided an unsatisfactory response to the requesting verification of income received for a specific determined period. Document all communications and maintain accurate records for accountability and reporting purposes.
· Work closely with the Administrative Services Manager and Ministry Relationship Officers to ensure exception processing for New Covenant Funds transfer agency are approved timely.
· Provides excellent customer service to internal and external clients, vendors and service providers by submitting accurate and prompt account instructions and being responsive to needs in an open, pleasant, and professional manner.
· Assist with Identifying servicing concerns, prospects and tenuous NCF relationships and escalate to management.
· Provide backup coverage for Receptionist and monitors Receptionist Shared mailbox.
· Assist in resolving administrative and bank changes, electronic fund transfer rejects, and outstanding check issues.
· Provide backup and assist with the completion of all unit functions as needed.
Experience and Job-Related Requirements
· Bachelor’s Degree preferred, or a high school graduate with five years of administrative experience.
· Proficient in MS Office software.
· Excellent verbal and written communication skills with the ability to draft documents.
· Demonstrated interactive skills, with emphasis and focus on the delivery of superior customer service.
· Must be a true team player with strong organizational skills and possess the ability to multitask.
· Possess excellent listening and trouble-shooting skills.
· Discipline to pay strict attention to detail and accuracy.
· Ability to multi-task and meet established deadlines. Accountable, dependable, and self-motivated.
Physical Requirements
· Ability to communicate orally with management and co-workers, both individually and in a group/team.
· Regular use of the telephone and e-mail with excellent customer service skills is required.
· Sitting for extended periods is common.
· Hearing and vision within normal ranges is essential for normal conversations, receiving information and preparing and inspecting documents.
· No heavy lifting is expected. Exertion of up to 10 lbs. of force occasionally may be required.
· Good manual dexterity for the use of common office equipment such as computer terminals, calculator, telephone, and copiers.
Work Environment
· The job is performed indoors in a traditional office setting
