Junior Litigation Paralegal/Administrative Assistant

  • FLSA Status: Non-exempt
  • Job Status: Regular, Full-Time
  • Reports to: Litigation Team

Position Summary: Ability to perform a variety of legal and administrative duties including routine clerical tasks under the direct supervision of secretaries, legal assistants and attorneys in litigation work, focusing on administrative assistance (i.e., prepare correspondence) and case preparation. In this role, you will split your time between legal administrative tasks and billing your time (you could bill 10 hours a week or up to 40-50 hours monthly). Seeking someone who has worked in a law firm in litigation (preferably commercial litigation).

Essential Duties and Responsibilities:

  • Assist secretaries, legal assistants, and attorneys with legal document preparation and special projects.
  • Maintain attorney files including indexing files and documents, printing selected emails, and routing information to the appropriate file.
  • Draft enclosure letters for recording or filing original documents.
  • Conduct all manner of discovery related tasks, including drafting pleadings, preparation of exhibits, compile, bate stamp, and photocopy discovery requests and responses.
  • Document review and organization for deposition preparation, hearings, trials, etc.
  • Prepare files for closing; coordinate transfer of files to off-site storage facility.
  • Assist with other special projects as needed.

Knowledge, Skills and Abilities Required:

  • Litigation billing experience needed.
  • Ability to assemble files and to file information utilizing alphabetical and numerical filing guidelines.
  • High level of organizational skills needed along with the ability to prioritize various tasks and complete them in a timely manner.
  • Ability to read and write with good grammatical skills at a level normally acquired through the completion of high school or equivalent in order to maintain records and filing systems.
  • Ability to work independently and with a team.
  • Ability to operate office equipment including computer, copier, facsimile machine and phone.
  • Interpersonal skills necessary to communicate and follow instructions effectively from a diverse group of attorneys and staff, and to provide information with courtesy and tact.
  • Interpersonal skills necessary to communicate by phone and to provide information with professional and courteous disposition.
  • Ability to retrieve and distribute files or written documents weighing up to 20 pounds.
  • Work requires regular attendance and willingness to work overtime as required.
