Clinical Administrative Services Analyst

Summary: Under the direction of the Clinical Administrative Services Manager the Clinical Administrative Analyst will organize, direct and coordinate the clinical administrative service functions of the Psynergy Programs Inc Outpatient Clinics billable services and with the implementation of administrative policies and procedures.

Duties and Responsibilities include the following. Other duties may be assigned.

• Assists with preparing billing for Medi-Cal, Medicare, Private Pay including but not limited to auditing time, providers, and service ID(s). Invoice residential, private pay, printing notes. Create 1500 Claim Forms and UB049(s)

• Prepares and transmits claims using the various counties billing systems (EMR)’s.

• Problem solve and resolve discrepancies, denials, appeals and collections

• Represents the company at multiple mandated County Contract agencies throughout the state

• Assists with mandated studies and surveys for the State of California and County QI Departments i.e. client satisfaction, service verification, sexual orientation certifications.

• Assists with gathering information for QI audits

• Communicates with and serves as a resource for clinical staff to facilitate complete and accurate documentation of the patient record; queries clinical staff regarding missing, unclear, or conflicting medical record documentation and obtains additional documentation within the medical record when needed

• Assists with credentialing clinical staff upon hire with both county partners and Harmony EMR, as well as notifying county partners and Harmony EMR when clinical staff terminate employment

• Assists with the development of billing practices

• Ability to handle and execute multiple priorities within tight deadlines

• Assists with the compliance of collecting data for performance improvements and report findings and outcomes

• Maintains professional knowledge in applicable areas and keeps abreast in job-related rules, statues, laws and new business trends, makes recommendations for the implementation of changes; reads and interprets professional literature; attends training programs, workshops and seminars as appropriate

• Reviews and approves requests for the purchase of medication room and clinic office supplies

• Assists with compliance with contract provisions; coordinates with service providers in the delivery of contract requirements i.e. billing correct rates, timely etc.

• May create and revise form for the use and purpose of employee and/ or executive function and process

• Maintain new and current County Files for billing

• Composes letters, memos and other written communications on routine matters i.e. emails, memos to staff

• May provide transportation in agency vehicles, including but not limited to the transportation of clients and/or program supplies, on agency business

• Exercises absolute confidentiality with all client and employee related matters and material

• Participates in emergency drills and follows emergency procedures

• Mandate abuse reporter

• Communicate effectively orally and in writing.

• Understands and accurately follows brief oral and written instructions.

• Establish and maintain effective working relationships with company staff, county staff as well as the public.

 

Education and Experience: 2 years office experience is required

License: A valid California driver’s license, current automobile insurance, and a good driving record as documented by a DMV report, first aid and CPR training.

 

Special Requirements: Must be able to meet and receive criminal record clearance as required by Title XXII, licensing regulations. This includes FBI and DOJ clearance. A health screening, by or under the direction of a physician must have been performed not more than one year prior to employment or within seven (7) days after employment. Health screening must include TB clearance not more than one year prior to employment or within seven (7) days after employment. Must have a “valid” standard first aid card and CPR card from an accredited institution. Must be physically able to assist clients and /or staff in the evacuation of program facility in emergency situations. Must be able to administer first aid and CPR in an emergency situation if assigned to a residential facility.

 

Physical Requirements: The following are required in day-to-day performance of duties of the position: walking, sitting, pinching and finger flexion, and visual/auditory acuity are required constantly, (over 2/3 of the workday); lifting, carrying, pushing, pulling, bending, stooping, crouching, kneeling and twisting are required occasionally (under 1/3 of the workday), balancing, climbing and crawling are generally not required.

About You

Perform a wide range of human resources functions. Duties include recruiting, hiring and training new and existing employees. The HR Assistant will assist in helping plan programs and processes designed to improve employee welfare. Maintain vital employee records and ensure the smooth operation of the HR department.

• Support internal and external inquiries and requests related to the HR department
• Compile and maintain paper, digital and electronic employee records
• Assist in HR-related training programs, workshops, and seminars
• Enter employee data into computer database
• Coordinate new hire orientations
• Oversee HR events and meetings and coordinating management-employee communications
• Continuously learn the latest HR best practices to improve workplace efficiency
• Other duties as assigned 
