About the RoleWe are seeking a highly skilled Front Office Manager to oversee daily front office operations and ensure exceptional patient care. In this leadership role, you will manage administrative staff, coordinate patient scheduling, and uphold operational excellence across all Sadler locations. You will be the first point of contact for patients and visitors, delivering an outstanding customer experience.
Key ResponsibilitiesOperational Oversight:
Provide operational leadership across all sites, ensuring timely and professional service.
Monitor patient areas for safety, comfort, and timely service, troubleshooting issues as they arise.
Patient Experience:
Handle, report, and resolve patient complaints.
Oversee patient satisfaction and post-visit surveys, using data to improve processes in collaboration with leadership.
Track and enhance workflows to improve patient flow and care coordination.
Training & Staff Development:
Ensure all front office staff are thoroughly trained and competent in their roles.
Conduct staff meetings and provide feedback to foster a highly engaged team.
Scheduling & Compliance:
Create provider schedules in EHR systems, tracking productivity and access.
Collaborate with the Quality Team to ensure accurate data collection and compliance with UDS, PCMH, and other initiatives.
Revenue Cycle Coordination:
Work closely with the revenue cycle team to ensure proper account registration, billing, and insurance verification.
Proactively mitigate denials by obtaining and validating all necessary insurance information.
Leadership & Collaboration:
Supervise Front Office Supervisors, Patient Access and Training Supervisors, and Enrollment Specialists.
Act as a liaison between front office supervisors and clinical leadership to ensure centralized and consistent operations.
Develop policies and protocols to improve workflows and align with organizational goals.
Performance Metrics:
Monitor appointment supply and demand, no-show rates, and other key indicators.
Use performance data to enhance access, continuity, and efficiency.
Skills & Abilities:
Strong oral and written communication skills.
Exceptional ability to interact with diverse teams and community members.
Analytical skills with sound judgment, tact, and diplomacy.
Proficiency in Microsoft Office applications (Word, Excel, Outlook).
Self-motivated, independent, and effective in delegating and monitoring tasks.
Familiarity with EHR systems (preferably eClinicalWorks).
Education & Experience:
Required: Bachelor's degree in business, healthcare administration, or related field.
Preferred: Master's degree in business or healthcare management.
3+ years of experience in medical practice or healthcare call center operations, including at least 1 year in a supervisory role.
Experience with telecommunication systems and healthcare information systems.
Other Requirements:
Must be able to travel to all Sadler sites and work flexible hours to support training and operations.

The pay range for a Front Office Manager is between $60,000-70,000 per year.
