Responsibilities:
• Serve as the first point of contact for clients, providing excellent customer service.
• Manage incoming calls, routing them appropriately or taking messages as needed.
• Efficiently handle back office paperwork, including data entry tasks.
• Assist clients with inquiries related to the services we offer.
• Coordinate with the staff and management to ensure smooth day-to-day operations.
• Perform basic administrative functions including handling mail, typing letters, managing document filing systems, and photocopying and scanning documents.
• Manage patient registration and appointment scheduling.
• Use Microsoft Excel, Microsoft Outlook, and Microsoft Word to organize files and schedule appointments.
• Utilize interpersonal skills to effectively communicate via email and multi-line phone system.• Proficiency in using Microsoft Office Suite including Microsoft Word, Outlook, and Excel
• Experience in managing a multi-line phone system
• Excellent interpersonal skills for interacting with customers and colleagues
• Strong data entry skills with attention to detail and accuracy
• Ability to handle email correspondence professionally and promptly
• Experience in organizing files and records for easy retrieval
• Skilled in scheduling appointments in a timely and efficient manner
• Demonstrated customer service skills; ability to manage difficult or emotional customer situations
• Ability to adapt to changes in the work environment, manage competing demands and deal with frequent change, delays or unexpected events
• High school diploma or equivalent education level
• Previous experience in a similar role in a banking environment will be a plus
