We are seeking a skilled Heavy Haul Dispatcher to join our team The Heavy Haul Dispatcher is responsible for coordinating the movement of heavy haul equipment, ensuring compliance with transportation regulations, and managing dispatch orders. This key role requires in-depth knowledge of heavy haul equipment, transportation regulations, and the ability to efficiently enter and track orders in Axon software.


Responsibilities:

  • Serve as the primary point of contact for subcontractors, customers, drivers, and pullers, ensuring clear communication between all parties involved.
  • Confirm the presence of all ordered trucks on-site and manage truck movements throughout the day and night.
  • Conduct check-ins with Monzon trucks and dispatched pullers at least 60 minutes before the start of shifts.
  • Check in with the load counter at least 30 minutes before shifts and confirm the number of trucks on-site, following up on missing trucks.
  • Check in on all jobs lacking load counters, contacting subcontractors first, then confirming with onsite contacts to verify and relay status.
  • Manage any shortages or delays, maintaining communication with customers until the issue is resolved, finalized, or substituted.
  • Confirm customer satisfaction and job completion after dispatch.
  • Check email at least three times daily and acknowledge all emails, providing solutions or expected completion times.
  • Ensure solutions or completion times are provided within 24 hours.
  • Immediately acknowledge work order emails.
  • Conduct thorough daily dispatch reviews, including customer details, truck types, drivers/pullers/subcontractors listed, billing and payment rates, dump fees, job descriptions, billing descriptions, PO/job numbers, and purchaser information.
  • Ensure all columns are filled out and verified, with updates completed by the next day at 11 AM.
  • Manage changes in dump locations, rates, shortages, and add-ons.
  • Fully enter dispatched trucks into the log before the start of shifts.
  • Maintain 24/7 availability for communication.
  • Communicate work schedules during dispatch meetings.
  • Inform the team if not coming into the office.
  • Ensure coverage for all work orders.
  • Confirm daily whether jobs will run the next day.
  • Conduct three daily check-ins with other dispatchers.
  • Communicate with drivers to ensure all working trucks are operational and dispatched.
  • Recruit drivers, pullers, and subcontractors, providing training or connecting them with appropriate resources.
  • Visit all new job sites on their first day.
  • Provide daily reports to Anthony and Kelvin, including breakdowns, shortages, late arrivals, no call/no shows, call-outs, time-off requests, revenue per driver, and hours per driver.
  • Conduct 2-3 job visits per week and ride along with drivers for a minimum of 3 hours per week or 12 hours per month.
  • Perform daily yard walks.
  • Familiarize oneself with the capabilities and capacities of Heavy Haul trucks and trailers.
  • Maintain continuous communication with drivers to ensure efficient operations.
  • Acquire knowledge of all contacts at jobsites to facilitate smooth communication.
  • Communicate with all customers via phone calls and group chats to address their needs and concerns.
  • Conduct 6 hours of ride-alongs with drivers per month.
  • Perform 1 jobsite visit per week, especially for new or delicate equipment moves.
  • Lead initiatives to grow the Heavy Haul division, including acquiring new contracts and expanding customer relationships.
  • Maintain a list of Heavy Haul customers for regular work check-ins.
  • Visit all new job sites to foster relationships and secure new contracts.
  • Dispatch an average of 10 heavy haul trucks daily.
  • Ensure a daily minimum of $2,000 revenue per driver.
  • Aim for a weekly driver revenue average of $10,000.
  • Regain/increase volume and establish new customer relationships.
  • Provide support to the Flatbed dispatcher with load board moves and coordination.
  • Limit dead miles and book out-of-town work to maximize efficiency.
  • Audit trailers and tie-down equipment to ensure compliance and safety standards.


Qualifications:

  • High school diploma or equivalent
  • Minimum of 2 years of experience in dispatching heavy haul equipment
  • Strong knowledge of the transportation industry and regulations
  • Excellent communication and interpersonal skills
  • Ability to work in a fast-paced environment and handle multiple tasks simultaneously
  • Strong attention to detail and organizational skills
  • Proficient in Microsoft Office and dispatch software
