We are seeking a meeting planner to join our client's team in the non-profit sector situated in Chicago, Illinois. This role offers a contract to hire employment opportunity with a focus on conference and meeting planning, calendar management, and expense tracking. The successful candidate will be responsible for a variety of tasks, including logistical support, communication, and event coordination.


Responsibilities:

• Coordinate all aspects of conferences, meetings, and events, including pre-planning, onsite execution, and post-event wrap-up.

• Manage a master calendar and project timelines related to all meetings.

• Assist with departmental critical deadlines and deliverables schedule.

• Maintain confidentiality with sensitive information.

• Handle AMEX log and receipts using the Concur Expense System.

• Disseminate meeting/conference notifications and prepare meeting announcements.

• Monitor the Meeting Planning Inbox and respond to inquiries.

• Coordinate housing, audio-visual, food & beverage, and transportation requirements for assigned meetings.

• Provide on-site staff support for assigned meetings.

• Meeting Planning experience

• Proficiency in ADP - Financial Services

• Familiarity with Cisco Webex Meetings for organizing virtual meetings

• Prior experience with Concur and Concur Expense for financial management

• Understanding and experience with CRM systems

• Proficiency in Kronos Timekeeping System and About Time for efficient time management

• Excellent calendar management skills, including the coordination of complex executive meetings

• Strong communication skills, both written and verbal

• Experience with managing conference calls and correspondence

• Demonstrated ability in event planning and special event planning

• High level of discretion and confidentiality

• Ability to multitask and prioritize work as needed

• Strong problem-solving skills and attention to detail

• Excellent organizational skills.
