The Concept Project Coordinator Results Statement: The Concept Project Coordinator role in Ephrata, PA aims to deliver extensive administrative assistance to the project team. The objective is to ensure smooth operations, top-notch customer service, and clear communication, all while contributing to the company's overall success and expansion.


Responsibilities include aiding the project team in overseeing concept and schematic design projects, participating in weekly strategy meetings, managing the project tracker tool, and engaging with clients and partners throughout the design process.

Compensation:

$65,000 - $75,000 yearly

Responsibilities:
  • Support the sales team by inputting project contacts into the CRM system.
  • Attend weekly "Game Plan" meetings to assist in prioritizing strategies for new projects and deadlines.
  • Maintain the "Project Tracker" tool to monitor project progress and statuses.
  • Generate weekly reports from the Project Tracker tool for sharing project status updates with key clients.
  • Review company projects and provide feedback on completeness and accuracy using Bluebeam sessions.
  • Aid the sales team in defining project scopes using Miro and preparing for project calls.
  • Prepare and compile design decks and packages to present to clients.
  • Utilize the Typeform platform to submit follow-up questions or collect necessary data.
  • Oversee and assign tasks for Concept Design and Schematic Design production.
  • Collaborate with Clients, Architects, General Contractors, Dealers, Fabricators, and Manufacturers to address any design process inquiries.
  • Conduct "hand-off" meetings with Project Managers upon project approval for seamless transitions.
  • Assist dealers in budget development, preparing bids, and creating bid reports for clients.
  • Delegate tasks to production staff and ensure deadlines are met.
  • Contribute to refining processes and workflows to enhance efficiency and clarity.
  • Ensure timely and accurate filing of all project documents and records.
  • Proficiently use Office 365, Microsoft Teams, ActiveCollab, and Bitrix CRM for project management tasks.
  • Participate in SCOPOS daily stand-up meetings to discuss schedules and priorities.
  • Adhere to company standards and maintain confidentiality of all information and documents.
  • Return client and team calls promptly, following the company guidelines.
  • Uphold the company dress code and provide exceptional customer service.
Qualifications:
  • Previous experience in food service is an advantage for this role.
  • The ideal candidate must have experience in Project Management or Project Coordination.
  • Design or Architectural background is a requirement for this position.
  • Familiarity with BlueBeam software is preferred.
  • Proficiency in reading blueprints is a plus.
  • Ability to thrive in a fast-paced work environment is necessary.
  • Strong verbal and written communication skills are essential.
  • Organizational and time management abilities are vital for this role.
