Key Responsibilities:

  • Billing and Invoicing:
  • Prepare and process legal invoices in compliance with client billing guidelines and internal firm policies.
  • Ensure accurate timekeeping and cost entries on legal invoices.
  • Review and verify billing entries from attorneys, paralegals, and other legal staff for accuracy and completeness.
  • Create and update billing templates, taking into consideration client preferences, billing arrangements, and specific client matters.
  • Client Liaison:
  • Serve as a point of contact for clients and internal staff regarding billing inquiries, disputes, or concerns.
  • Work directly with clients to resolve billing discrepancies and maintain a positive client relationship.
  • Provide periodic billing reports and status updates to clients as needed.
  • Compliance and Audit:
  • Ensure all invoices comply with legal industry standards, client guidelines, and applicable regulations.
  • Perform regular audits of invoices to ensure compliance with retainer agreements, fee structures, and billing arrangements.
  • Monitor the billing process to identify and resolve any issues or inconsistencies in a timely manner.
  • Process Improvement:
  • Identify opportunities to streamline billing workflows and improve efficiency within the legal billing process.
  • Collaborate with the finance department to ensure accurate revenue recognition and assist with month-end and year-end closing.
  • Data Management and Reporting:
  • Maintain and update billing records and files, ensuring that all data is accurate and up to date.
  • Prepare detailed billing reports for management review, providing insights into revenue, outstanding balances, and client trends.



Qualifications:

  • Minimum of 2-3 years of experience in legal billing, legal finance, or a similar role within a law firm or corporate legal department.
  • Strong knowledge of legal billing systems or QuickBooks preferred.
  • Understanding of legal terminology, fee structures, and common billing arrangements (e.g., hourly rates, flat fees, retainer agreements).
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint).
  • High attention to detail with strong organizational and problem-solving skills.
  • Excellent verbal and written communication skills.
