Key Responsibilities:
- Billing and Invoicing:
- Prepare and process legal invoices in compliance with client billing guidelines and internal firm policies.
- Ensure accurate timekeeping and cost entries on legal invoices.
- Review and verify billing entries from attorneys, paralegals, and other legal staff for accuracy and completeness.
- Create and update billing templates, taking into consideration client preferences, billing arrangements, and specific client matters.
- Client Liaison:
- Serve as a point of contact for clients and internal staff regarding billing inquiries, disputes, or concerns.
- Work directly with clients to resolve billing discrepancies and maintain a positive client relationship.
- Provide periodic billing reports and status updates to clients as needed.
- Compliance and Audit:
- Ensure all invoices comply with legal industry standards, client guidelines, and applicable regulations.
- Perform regular audits of invoices to ensure compliance with retainer agreements, fee structures, and billing arrangements.
- Monitor the billing process to identify and resolve any issues or inconsistencies in a timely manner.
- Process Improvement:
- Identify opportunities to streamline billing workflows and improve efficiency within the legal billing process.
- Collaborate with the finance department to ensure accurate revenue recognition and assist with month-end and year-end closing.
- Data Management and Reporting:
- Maintain and update billing records and files, ensuring that all data is accurate and up to date.
- Prepare detailed billing reports for management review, providing insights into revenue, outstanding balances, and client trends.
Qualifications:
- Minimum of 2-3 years of experience in legal billing, legal finance, or a similar role within a law firm or corporate legal department.
- Strong knowledge of legal billing systems or QuickBooks preferred.
- Understanding of legal terminology, fee structures, and common billing arrangements (e.g., hourly rates, flat fees, retainer agreements).
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint).
- High attention to detail with strong organizational and problem-solving skills.
- Excellent verbal and written communication skills.
