Job Title: Construction Office Manager

Client Industry: Construction/Fire Protection

Location: 100% Onsite – Houston, TX 77055

Position Type: Direct Hire (Full-Time)

Schedule: Monday - Friday, 7 AM – 4 PM, or 8 AM – 5 PM

Pay Rate: $30/hr - $35/hr (DOE)

Department: Operations

 

This full-time, direct-hire position is based in West Houston, Texas, and works closely with the District General Manager to ensure smooth daily operations within a growing district office in the construction and fire protection sector. The ideal candidate will have a proven track record in managing office activities, supervising staff, and handling billing and administrative tasks in a fast-paced environment.

 

Key Responsibilities:

  • Office Operations Management: Oversee office activities to ensure efficient and smooth daily operations, manage schedules, handle administrative tasks, and meet deadlines.
  • Staff Supervision: Supervise and manage an administrative team (billers, collectors, receptionists) to ensure high levels of productivity, efficiency, and accuracy.
  • Billing & Contract Setup: Manage billing processes including job costing and ticket costing, ensuring accuracy and compliance with company standards.
  • Program Implementation: Lead and track initiatives and programs directed by management, ensuring they meet organizational goals.
  • Collections & AR Coordination: Assist with district accounts receivable collections, work with collectors, deposit checks, and participate in collections calls with the Finance team.
  • Accounts Payable & Portal Management: Manage the accounts payable portal, resolve billing exceptions, and maintain smooth financial operations.
  • Communication & Reporting: Draft memos, emails, and reports, respond to inquiries, and provide timely communication to staff and clients.
  • Petty Cash & Expense Tracking: Oversee petty cash management, maintain financial records, and ensure proper tracking of expenses.
  • Safety & Compliance: Collaborate with the Safety team to ensure OSHA training and safety requirements are met for both office and field technicians.
  • Time Entry & HR Coordination: Post service trade time, manage timesheet reviews, and assist with HR functions including onboarding, payroll, and benefits coordination.

Job Requirements:

  • 3 to 5 years of office administrative and management experience in the construction industry, particularly in operations management.
  • Prior supervisory experience managing office staff such as billers, collectors, and administrative assistants.
  • Proven experience with billing, job costing, and contract management within the construction or fire protection industry.
  • Proficiency in MS Office Suite (Word, Excel, Outlook); familiarity with construction management software is a plus.
  • Strong attention to detail, ability to handle financial data, and manage multiple tasks in a fast-paced environment.
  • Excellent written and verbal communication skills to interact with clients, staff, and management effectively.
  • Ability to work independently and collaboratively within a team environment to meet organizational goals.
