The ideal candidate will oversee mailroom operations, ensuring timely and accurate processing of inbound and outbound mail, including boxes, labels, and international packages. The Mailroom Specialist will also help solve current operational challenges by unifying documentation, providing consistent coverage and operating hours, and streamlining processes to meet increased demand and ensure compliance.

Key Responsibilities:

Mail Management:
- Process all incoming mail and packages, ensuring proper sorting and timely distribution.
- Handle outbound packages, including labeling and preparing domestic and international shipments.
- Manage brokerage mail with supervision and support from a licensed owner to ensure compliance with client letters, checks, and complaints.

Customer-Facing Support:
- Serve as a point of contact for employees with mail-related inquiries, providing high-quality customer service.
- Use Slack and other mailroom tools (Envoy) to notify employees of incoming mail and packages.
- Assist with resolving any sorting issues or questions about mailroom services.
- Documentation & Process Improvement:
- Develop and maintain a single, comprehensive document outlining all mailroom processes, roles, and responsibilities
- Work collaboratively with the Workplace team to address ownership gaps and clarify responsibilities.
- International Mail & Compliance:
- Ownership of handling international mail, ensuring compliance with all shipping regulations and preventing mishandling or returns.
- Coordinate with relevant teams to ensure accurate documentation and proper procedures are followed for international shipments.

Miscellaneous Office Assignments:
- Partner with the Global Mobility and Talent Acquisition teams to handle immigration-related office job postings.
- Coordinate print requests, such as posters, working with external vendors like FedEx or other print services.

Increased Service Demand:
- Provide consistent, full-time mailroom coverage to meet rising demand, including assisting with large deliveries and packages.
- Collaborate with Workplace and Security teams to streamline access and support for employees needing assistance outside regular mailroom hours.

Inventory Control:
- Implement and enforce a policy for handling unclaimed packages to prevent clutter and inefficiency.
- Ensure regular inventory checks of unclaimed items and liaise with employees to arrange pickup or return as necessary.
- Create policy for organization and layout of the mailroom and socialize with Brokerage to ensure both teams comply with our standards.

Qualifications:
- Proven experience in mailroom operations or a similar role.
- Strong organizational and multitasking skills.
- Ability to maintain detailed and accurate documentation.
- Familiarity with shipping regulations, including international shipping protocols.
- Excellent communication and problem-solving skills.
- Ability to lift and move packages as needed.

Preferred Qualifications:
- Experience working in a corporate environment, particularly with the Workplace team.
- Knowledge of package tracking systems and mailroom management software.
