Job Description

Primary Duties & Responsibilities:

•Provides program/project support for administrative and/or academic activities.

•Provides administrative support, including calendar scheduling, appointments, travel and engagements. Compile relevant meeting agenda topics and meeting minutes.

•Regularly handles confidential or sensitive information; drafts and finalizes letters, email messages and other communications Initiates, writes, creates and edits/reviews various communications such as newsletters, event schedules, marketing materials, departmental information and distribution lists, program literature and mailings; uses desktop publishing software to lay out document.

•Plans and coordinates meetings and events including all details associated with event.

•Submits check requests, purchase orders, travel documents, etc.

•Provides solutions and referrals for questions and problems; serves as liaison to and assists faculty; coordinates faculty recruitment efforts, including itinerary, travel plans, and escort candidates to/from the interviews. • Assists with tenure review process, faculty reviews, faculty records, etc.

•Assist with business related travel arrangements, conference registration, etc.

•Assist with the coordination of legal depositions for faculty.

•Provide back-up coverage for other division administrative coordinator.

•Performs other duties as assigned.

• Cleans and stocks exam rooms and sterilizes instruments.

• Schedules and assigns work to other Medical Assistants to ensure appropriate staffing; assists in orientating and training new Medical Assistants.

• Routes phone messages, patient questions, and telephone communications to appropriate personnel.

• Assists with care coordination by doing tasks outlined under the department guidelines such as calling patients with test results, scheduling appointments, assisting with return calls; scheduling surgeries, diagnostic procedures, and admissions; and monitoring new and return patient contacts, including scheduling of appointments and follow-up appointments.

• Completes necessary paperwork and documentation in a timely manner.

• Answers basic questions from patient/family regarding treatments, diagnosis, and procedures.


Qualifications

  • CCMA/RMA preferred
  • BLS must be current and active- Through the Red Cross or Heart Association (In-person training required)
  • At least 3 years of experience
  • Prefers experience in administrative role within healthcare such as scheduling, phone and charting
