Position Overview:
This role is designed to deliver comprehensive administrative assistance to both the Adult and Juvenile Probation divisions, supporting officers and administrators in their daily operational tasks.
Key Responsibilities:
- Maintain and update client information within case management systems, ensuring accuracy through quality assurance processes.
- Prepare, revise, and proofread various legal documents, reports, and correspondence; manage the filing and distribution of court documents.
- Reconcile financial statements and manage client accounts, including processing payments and resolving discrepancies.
- Organize and schedule departmental meetings, events, and equipment maintenance, while also managing incoming communications and visitor interactions.
Additional Duties:
- May serve as a Court Clerk during specialized hearings and assist in the preparation of departmental budgets.
- Participate in special projects and committees as required.
Budget and Project Responsibilities:
- Provide research support for departmental budgeting and assist in project coordination.
Communication Skills:
- Train colleagues on procedures and effectively communicate through written documents, memos, and reports.
Public Interaction:
- Engage with employees, customers, and the general public, providing assistance and information as needed.
Qualifications:
- High School Diploma or GED required.
- Minimum of three years of relevant clerical or administrative experience.
Professional Requirements:
- Completion of 16 hours of training annually as mandated by the Committee on Judicial Education and Training for the State.
- Notary Public Commission preferred.
Knowledge and Skills:
- Proficient in database management, legal terminology, and office software applications.
- Strong organizational, problem-solving, and customer service skills are essential.
Work Environment:
- This position primarily operates in an office setting, with occasional requirements for physical activity.
Safety Considerations:
- Adherence to safety protocols and procedures is mandatory to mitigate risks associated with public interactions.
