The Intake Coordinator also facilitates assessments and intakes for appropriate facility services, providing essential administrative support to the admissions department to ensure high-quality service for clients and their families.
Key Responsibilities:
- Conduct pre-admission evaluations and complete necessary admission pre-certifications.
- Engage with clients, family members, and relevant sources to confirm intake criteria are satisfied. Review potential admissions against established criteria, policies, and procedures.
- Initiate and lead discussions with referral sources to support clients, resolve conflicts, and foster business relationships with other healthcare professionals.
- Respond to the needs of referred clients effectively.
- Evaluate family requirements for mediation, sober escort, and intervention, determining the most suitable professional resources based on gathered information.
- Recommend appropriate interventionists and facilities, including scheduling and travel arrangements.
- Collaborate closely with other departments and external entities to ensure timely client admissions.
- Maintain comprehensive documentation of all activities, contacts, appointments, and events in the designated Customer Relationship Management system, ensuring thorough records of the admissions process.
- Perform insurance verifications for all clients according to guidelines for private insurance admissions.
- Screen calls from referrals and arrange transportation for admissions.
- Manage a waiting list for admissions and maintain communication with potential candidates to facilitate the process.
- Welcome and assist clients, visitors, and staff at the front office.
- Oversee the flow of traffic and incidents in the lobby area.
- High School Diploma or equivalent is required; a Bachelor's Degree in social work, psychology, counseling, or a related field is preferred.
- A minimum of one year of experience in healthcare admissions is required, preferably in mental health or substance abuse.
- Experience in client assessment, referral processes, treatment planning, and communication with external review organizations is essential.
- Familiarity with community resources is beneficial.
- Exceptional interpersonal, interviewing, and assessment skills are necessary, along with proficiency in telephone etiquette.
- CPR and de-escalation and restraint certification are required (training available upon hire).
- First aid certification may be required based on state or facility regulations.
