Role Overview:
Within the School of Medicine, the Dermatology department is a dynamic and productive administrative unit. The team is responsible for managing pre- and post-award activities for a diverse array of sponsoring agencies, collaborating with federal, industry, and non-profit sponsors on contracts, grants, and clinical trials.
We are seeking a Research Operations Coordinator who will oversee a comprehensive range of administrative, financial, and operational tasks related to pre- and post-award sponsored research activities. This includes proposal development and the management of funds and budgets post-award.
Key Responsibilities:
- Collaborate with principal investigators to prepare the administrative components of proposals, adhering to sponsored and non-sponsored research guidelines.
- Manage and communicate the submission process, ensuring all documents are complete and compliant.
- Develop, prepare, and finalize project budgets, providing necessary budget justifications.
- Act as a liaison between principal investigators, the Office of Sponsored Research, research teams, and other departments, addressing sponsor inquiries effectively.
- Work with the Office of Sponsored Research to ensure proper award setup and fulfillment of cost-sharing requirements; initiate cost transfers as needed.
- Review and approve expenditures, advising on post-award spending and compliance with fund and revenue regulations.
- Generate and communicate reports that support project status, including effective forecasting and decision-making tools.
- Participate in the contract closeout process, submitting final reports and certificates.
- Compile necessary information and documentation for audit inquiries.
- Understand and apply university and government policies for projects, serving as a resource for principal investigators and university staff.
- Engage in process improvements and lead group projects, potentially mentoring and providing cross-training to other staff members.
Qualifications:
- A Bachelor's degree and three years of relevant experience, or a combination of education and experience.
- Basic understanding of governmental regulations and the ability to interpret and communicate policies and procedures.
- Strong oral and written communication skills, along with excellent analytical capabilities and proficiency in Excel and web-based tools.
- Solid accounting skills and knowledge of accounting principles.
- Ability to complete required training within the first six months of employment.
- Familiarity with procurement needs, including vendor requirements and small business reporting.
- Competency in project management and exceptional attention to detail.
- Ability to work independently while also collaborating effectively with others.
Physical Requirements:
- Frequent sitting, light grasping, fine manipulation, and desk-based computer tasks; ability to lift and carry objects weighing up to ten pounds.
- Occasional standing, walking, and filing paperwork; rare lifting of heavier objects.
