The primary objective of the Veterinary Practice Supervisor is to ensure the seamless operation of the clinic while delivering top-notch veterinary care, outstanding client service, and fostering employee engagement. This encompasses staff management, oversight of cost of goods sold (COGS), collaboration with veterinary professionals to enhance patient care, and ensuring a positive experience for clients.

The Veterinary Practice Supervisor works closely with the Regional Operations Specialist and Veterinary Partner to enhance the clinic's reputation and expand the client base, all while prioritizing pet and client satisfaction and cultivating a positive workplace culture.

Key Responsibilities:

The responsibilities associated with this position include, but are not limited to:

Daily Tasks:

  • Reviewing and processing invoices to guarantee accurate pricing and billing.
  • Conducting follow-up calls to clients who have missed appointments.
  • Assessing appointment schedules to determine staffing needs and creating schedules accordingly.
  • Ensuring timely delivery of client communication reminders and monitoring responses.
  • Completing daily financial reconciliations to provide necessary information to the finance team.
  • Addressing all clinic email communications promptly and appropriately.
  • Identifying scheduling conflicts and developing solutions to enhance medical operations.

Weekly Tasks:

  • Analyzing weekly performance metrics and providing insights on revenue trends and client visits.
  • Overseeing the management of controlled substances in compliance with regulatory standards.
  • Managing payroll processes effectively.
  • Coordinating inventory and supplies based on clinic requirements.
  • Monitoring actual spending against budget for cost of goods.
  • Administering accounts receivable in line with expectations.
  • Collaborating with marketing leads to create engaging content for social media platforms.
  • Auditing client communications to ensure they meet established standards.
  • Monitoring patient volume to assess veterinary performance and identify opportunities for improvement.

Monthly Tasks:

  • Reviewing new client acquisition reports to evaluate monthly performance.
  • Analyzing fill rates for trends by day and/or veterinary professional.
  • Closing out monthly reports in accordance with financial guidelines.
  • Creating staffing schedules for veterinary professionals and support staff in advance.
  • Conducting monthly team meetings and documenting key discussions and acknowledgments.
  • Facilitating one-on-one meetings with staff and maintaining appropriate records of these discussions.

Qualifications:

Experience and Education:

  • A high school diploma is required; a bachelor's degree is preferred.
  • 3-5 years of management experience is required, preferably in the veterinary or hospitality sectors.
  • Proficiency in Microsoft Office Suite (Excel, Outlook, Word) is necessary.
  • Willingness to travel occasionally is preferred.

The Veterinary Practice Supervisor must possess strong analytical and problem-solving abilities to address business needs and trends. Excellent communication skills are essential for driving satisfaction among veterinary professionals, engaging staff, and enhancing the client experience.
