Position Summary:
The Billing Specialist is tasked with the critical role of assembling and managing client invoices while also undertaking various accounting and bookkeeping responsibilities.
Key Responsibilities:
- Prepares and processes invoices in line with established organizational policies and protocols.
- Handles a range of accounting and reporting tasks as required, ensuring timely payment of invoices.
- Selects, prints, and circulates preliminary bills according to the monthly timeline.
- Finalizes and sends out final invoices following company and client specifications.
- Reviews and confirms the accuracy of billing and accompanying documentation as necessary.
- Investigates and addresses billing queries from both internal and external clients promptly and professionally.
- Maintains updated client rates, addresses, invoice templates, and electronic billing details.
- Processes weekly bank deposits and reconciles payments using accounting software.
- Collaborates with payment processor representatives and accounting software support to resolve issues as they arise.
- Provides updates on client accruals, status, and budget information.
- Generates and distributes monthly financial reports.
- Follows up on overdue invoices.
- Collects payments for all internal consultations.
- Processes credit card transactions.
- Assists with special projects as necessary and supports the Financial Manager.
Qualifications:
- Bachelor's degree in accounting or relevant coursework preferred; candidates with an Associate degree and relevant experience will be considered.
- Prior experience in billing within a legal firm setting is preferred.
- Proficient in MS Office, Adobe, and billing/accounting software; experience with QuickBooks Online is a plus.
- Exceptional attention to detail is required.
- Ability to thrive in a fast-paced work environment.
- Capable of executing complex billing processes efficiently.
- Able to manage a high volume of invoices monthly.
- Effective communication skills to interact with attorneys, paralegals, support staff, and clients.
