Job Title: Enrollment Associate III - Testing

Henry Ford College is seeking a highly skilled and detail-oriented Enrollment Associate III - Testing to join our team. As a key member of our Enrollment Services department, you will be responsible for delivering exceptional customer service to students, faculty, and staff while ensuring the smooth operation of our testing program.

Key Responsibilities:
  • Serve as a front-line representative of the testing office, handling a high volume of in-person and electronic contact with customers and/or staff daily.
  • Communicate effectively, both verbally and in writing, a variety of assessment/course placement/testing process information and procedures in person, via phone, email, and other electronic means.
  • Analyze and verify candidates' placement scores and needs.
  • Ensure proper procedures are followed for students who are testing.
  • Enforce all student testing policies.
  • Administer lockers as needed. Collaborate with facilities to ensure lockers are functioning correctly.
  • Verify time limits and use of approved instructional materials/aids during the examination process.
  • Assist students by providing test results in accordance with sponsors'/vendors' policies and procedures.
  • Actively observe candidates while testing to ensure cheating does not occur.
  • If cheating is observed, handle the incident according to policies and procedures.
  • Trouble-shoot end-user computer issues.
  • Complete incident reports per policies and procedures.
  • Assist candidates with accessing computerized exams by providing basic log-in assistance.
  • Comply with various test center procedures and requirements as specified by each test vendor/sponsor.
  • Address testing problems and discrepancies with examinees, testing staff, and/or the testing company.
  • Maintain and update specialized computer software to support testing program functions; serve as a contact between the department, Office of Information Technology Services, and testing/software companies.
  • Monitor and troubleshoot test score import processes for accuracy (Accuplacer, ACT/SAT).
  • Data enter test scores, ensuring accuracy.
  • Perform test score import processes (Accuplacer, ACT/SAT).
  • Ensure that test security standards are upheld.
  • Ensure that the confidentiality of all testing records is maintained.
  • Supervise the administration of certain tests for students with disabilities by consulting with the Office of Disability Services, communicating with the students, making accommodations according to documentation, and using appropriate assistive devices.
  • Collaborate with and provide consultation regarding testing to appropriate HFC departments.
  • Process all required documents needed to carry out the testing program.
  • Organize and carry out procedures related to hybrid course testing. Collaborate with hybrid instructors to ensure all testing materials are received and to resolve any issues that arise.
  • Proctor course placement, midterm, final, and other exams for hybrid courses as well as other specialized tests such as NAT and CLT.
  • Assist with other Enrollment Services areas as needed/assigned.
  • Perform other duties as assigned.
Requirements:
  • Associate degree from an accredited institution or a combination of education and relevant experience may be considered.
  • One year of related work experience in customer service or post-secondary enrollment services or student affairs office.
  • Experience interpreting and explaining office policies and procedures.
  • Strong organizational skills with the ability to recognize and follow through on priorities in a timely manner.
  • Strong computer/technology skills with proficiency in Microsoft Office 365 specifically word processing (mail merge), spreadsheets, and database software.
  • Ability to use good judgment in handling office matters in a confidential and discrete manner.
  • Engaging personality in meeting the public by telephone and in the office.
  • Ability to work cooperatively with others in a team environment.
  • Strong interpersonal skills.
  • Strong oral communication skills.
  • Critical thinking ability; decision-making ability.
  • Ability to meet proctor guidelines/requirements set by individual testing companies.
  • High degree of tact and poise serving on the front line, representing the College at all times.

Preferred Qualifications:
  • Bachelor's degree.
  • Experience using Ellucian Colleague.
  • Experience working in a community college setting.
  • Experience working with Image Now (imaging software).
