Medical Reception Specialist

Under the guidance of the Clinic Manager, the Patient Access Representative plays a vital role in collaborating with medical, mental health, and recovery teams to facilitate the seamless operation of reception duties, data management, telephone communications, appointment scheduling, and comprehensive administrative support for health services.
KEY RESPONSIBILITIES:
1. Schedule patient appointments for various health center services.
2. Gather essential information from patients upon arrival, including demographics, insurance details, sliding fee scale, and any copayments due.
3. Update and confirm patient information accurately.
4. Conduct daily data entry, charge entry, and payment processing.
5. Confirm patient appointments via phone two days prior and update patient records accordingly.
6. Scan and organize all patient documents and external paperwork into the Electronic Health Record (EHR) system for easy access.
7. Manage tasks assigned by the medical team, including referrals and scheduling specialist appointments.
8. Organize and distribute incoming medical records received via fax or mail to appropriate medical team members.
9. Coordinate with nursing staff daily to schedule vaccinations and laboratory visits.
10. Assist in planning, managing, and coordinating patient flow within clinic areas to ensure high-quality service delivery.
11. Maintain a clean, organized, and professional waiting area and reception space.
12. Prepare and uphold patient/client records in compliance with HIPAA regulations and Equitas Health standards.
13. Adhere to Equitas Health's Corporate Compliance Standards of Conduct and related policies.
14. Foster a positive work environment by demonstrating respect and understanding towards all Equitas Health employees and clients, acknowledging diversity.
15. Provide exceptional customer service and maintain a focus on client satisfaction in all job responsibilities.
16. Continuously enhance cultural competency, demonstrating awareness and respect for diversity.
17. Perform additional duties as assigned.
EDUCATION AND QUALIFICATIONS:
High school diploma or equivalent is mandatory.
SKILLS AND ATTRIBUTES:
- Minimum of two years of experience in medical reception within a physician's office or a comparable combination of training and experience.
- Proven customer service excellence.
- Familiarity with administrative procedures and organizational policies.
- Experience with Electronic Medical Records (EMR) and medical billing software is preferred.
- Proficient in Microsoft Office Suite (Access, Excel, Word, and Outlook).
- Ability to establish and maintain effective working relationships with patients, medical staff, colleagues, and the public.
- Strong organizational skills with the ability to prioritize and manage multiple tasks effectively.
- Capability to work independently with minimal supervision while exercising initiative and judgment.
- Ability to perform well under pressure and adapt to changing circumstances.
- Team-oriented with strong communication and interpersonal skills.
- Commitment to maintaining confidentiality.
- Professional demeanor and appearance.
- Sensitivity and competence in addressing cultural differences, including knowledge of HIV/AIDS, minority health, and Gender Affirming Care, with demonstrated ability to work with diverse populations.
