Job Description
We are seeking a highly skilled Construction Administrator to join our team in Smithtown, New York.
This is a full-time/permanent role that requires a dedicated professional who can efficiently handle various office support tasks and work diligently to support multiple projects on time.
Key Responsibilities:
- Schedule and coordinate job meetings as requested by the Project Manager.
- Attend meetings/conference calls when required and take detailed minutes.
- Create and maintain project timelines using Microsoft Project.
- Support the Project Manager, Property Manager, and Estimator.
- Process closeout documents at project completion.
- Monitor and document change orders on projects.
- Approve invoices and send them to Accounts Payable.
- Answer phone calls for the Project Manager.
- Closeout projects with the Architect.
- Request Information, Contracts, Payment Applications, and Submittal Packages.
- Assist with general office duties.
- Proofread and edit documents for grammar, spelling, punctuation, and format.
- Maintain trusting relationships with suppliers, customers, and colleagues.
- Create and update records ensuring accuracy of information.
- Coordinate with other departments to ensure compliance with established procedures.
Requirements:
- A college degree is preferred.
- Proficient in English is required.
- Excellent overall computing skills are required.
- Excellent organizational and time management skills are essential.
- Analytical abilities and aptitude in problem-solving are necessary.
- Excellent written and verbal communication skills are required.
- Efficient typing ability is essential.
- Microsoft Office Intermediate to advanced skills (Outlook, Word Excel, and Project) are required.
- Construction software such as Procore and Timberline is a plus.
- Valid driver's license is required.
- Proven experience as a back-office assistant, office assistant, or in another relevant administrative role is preferred.
The estimated salary for this role is around $55,000 - $65,000 per year, depending on experience and qualifications.
