Position Summary
The Patient Access Specialist is crucial in establishing the initial connection between the organization and its patients, families, and external stakeholders. This role encompasses outpatient scheduling, comprehensive registration for all patient types (emergency, ambulatory, and inpatients), and the collection of essential data, documentation, and signatures to facilitate accurate billing processes with third-party payers or patients directly.
Key Responsibilities
- Engages with physicians and their office staff to gather necessary diagnosis, procedure specifics, or authorization details as required.
- Processes scheduling requests for procedures using Cadence, ensuring alignment with physician orders.
- Collects diagnosis and procedure information from patients, clinical departments, or physician offices to conduct ABN/Medical Necessity screenings as needed.
- Conducts interviews with patients, either in person or via phone, to gather scheduling and registration information.
- Manages incoming calls, utilizing discretion to schedule patients for the appropriate procedures in the correct service areas; accepts scheduling requests from patients, physicians, and their office staff.
- Accurately collects and enters demographic, financial, and clinical information into the electronic health record to complete hospital registrations.
- Provides prompt and comprehensive information to all providers and customers who rely on patient data.
- Reviews registration accounts for accuracy to ensure proper reimbursement for the hospital.
- Secures signatures on consent forms, HIPAA documentation, Observation Notices, Important Messages from Medicare, and other necessary forms in accordance with hospital policies.
- Clarifies financial responsibilities, negotiates deposits and payment plans with patients or guarantors, and strives to collect patient copayments or outstanding balances.
- Verifies insurance benefits using electronic eligibility applications, internet resources, or direct communication with insurance carriers; obtains necessary authorizations and pre-certifications for relevant visits.
- Ensures all required documents, including consent forms, pre-certification paperwork, benefits information, and insurance card copies, are accurately scanned into the patient’s electronic health record.
- Cross-trained to perform additional functions within the division as assigned.
- Performs other duties as assigned.
- High School Diploma or Equivalent (GED) is required.
- Associate Degree is preferred.
- Bachelor's Degree is preferred.
- A minimum of 2 years of customer service experience is required.
- 1 to 2 years of registration and/or billing experience in a healthcare environment is preferred.
- Strong communication skills (both written and verbal), attention to detail, organizational abilities, and multitasking capabilities are essential.
- Basic computer proficiency is required.

HOURS MAY VARY BETWEEN 5 AM AND 7 PM
