The successful candidate will be responsible for managing the complete lifecycle of external repairs, from the initial request to the final invoice processing. This position demands exceptional communication skills, a robust ability to manage vendor relationships, and a proactive problem-solving mindset.

PRIMARY RESPONSIBILITIES:

Oversee External Repair Activities:

  • Manage all external repair requests received from various departments.
  • Coordinate non-emergency external repairs for Operations, ensuring prompt and effective resolution.

Vendor Management:

  • Identify and select suitable vendors for repair services.
  • Create and oversee Purchase Orders (POs) for repair services.
  • Maintain open lines of communication with vendors to track progress and address any issues.

Communication and Monitoring:

  • Engage with Operations throughout the repair process to provide updates and collect necessary information.
  • Follow up with vendors and Operations to ensure repairs are completed satisfactorily and within the agreed timeframe.

Invoice Management:

  • Review and process invoices related to external repairs.
  • Ensure accuracy and adherence to company policies and procedures prior to approval.

Record Keeping and Reporting:

  • Maintain comprehensive records of all repair requests, POs, and invoices.
  • Generate reports on repair activities, vendor performance, and associated costs for management analysis.

Process Improvement:

  • Identify opportunities to enhance the external repair process.
  • Implement best practices and standard operating procedures to improve efficiency and effectiveness.

REQUIREMENTS:

Education and Experience:

  • A minimum of 3 years of experience in a similar capacity within the trucking or logistics sector.
  • Demonstrated experience in vendor management and procurement.

Skills and Qualifications:

  • Strong organizational and time management capabilities.
  • Excellent communication and interpersonal skills.
  • Proficiency in maintenance management software and Microsoft Office Suite.
  • Detail-oriented with robust analytical and problem-solving abilities.
  • Ability to work independently and manage multiple tasks concurrently.
