KEY RESPONSIBILITIES

  • Welcomes visitors in a courteous and professional manner; addresses common inquiries, general information requests, and complaints from the public, regulated entities, and partner organizations, or directs them to the appropriate personnel as needed.
  • Oversees the telephone system and manages incoming call traffic for staff, as well as maintaining general voicemail messages.
  • Exhibits exceptional communication and interpersonal skills, with the ability to listen attentively, respond suitably, and maintain a comfortable rapport with a diverse workforce.
  • Handles all incoming mail for the department and distributes it to the relevant parties in accordance with organizational policies.
  • Assists with the preliminary review of applications received; assesses the eligibility of applications for processing and review.
  • Collects and processes fees related to program activities.
  • Assigns tracking and/or permit numbers for all applications received.
  • Establishes and maintains filing systems, including databases, physical files, and logs for all applications received.
  • Maintains records and processes administrative tasks such as staff time and attendance, inventory of equipment and supplies, event registrations, and vehicle mileage and fuel records.
  • Organizes credit card receipts from staff and compiles information into monthly financial reports; prepares copies of all receipts for management review.
  • Acts as the Coordinator for the Northampton County Envirothon; responsible for organizing, preparing, and following up on the annual event.
  • Supports management and technical staff with correspondence needs, including retrieving requested items from files, copying, and organizing documents.
  • Serves as the Secretary to the Board of Directors; prepares board documents, attends all scheduled meetings, and develops meeting minutes.
  • Schedules pre-application and plan review meetings as required.
  • Identifies when action is needed, such as the procurement of office supplies, and initiates the process.
  • Demonstrates a strong ability to perform effectively and maintain diplomacy in a high-pressure and complex environment.
  • Exhibits excellent problem-solving skills with the capacity to envision and implement innovative solutions.
  • Displays a high energy level, ability to multitask, prioritize effectively, and work independently.
  • Establishes credibility and makes decisive contributions.
  • Performs other related duties as necessary.

EDUCATION & EXPERIENCE REQUIREMENTS

  • Completion of a high school diploma or equivalent; AND One (1) year of college education; OR One (1) year of specialized training in an office administration program; OR One (1) to two (2) years of experience in office administration with a comprehensive understanding of the necessary skill set.

KNOWLEDGE, SKILLS, AND ABILITIES

  • Familiarity with applicable state and federal laws and regulations related to company operations, along with the ability to learn relevant rules.
  • Proficient in computer systems and software, with the ability to apply skills in word processing, spreadsheet development, and document management.
  • Thorough understanding of proper record management, retention policies, and file organization.
  • Ability to prepare and analyze detailed reports, execute assignments, and manage existing and proposed programs.
  • Ability to read, write, speak, understand, or communicate in English sufficiently to fulfill the responsibilities of this position.
  • American Sign Language may also be considered as an acceptable form of communication.
