JOB SUMMARY:

The Grants Coordinator plays a vital role in managing the post-award life-cycle, ensuring precise data entry, processing, and reviews that support research administration functions. This position provides essential assistance on behalf of the Grants and Contracts Administration (GCA), guaranteeing that accurate information is relayed to faculty, staff, and departmental administrators. Additional responsibilities may be assigned as needed.

KEY RESPONSIBILITIES:

60% - Essential - Support Services: Ensure the thorough and precise establishment of new, fully executed sponsored projects, along with any modifications or amendments within the University’s ERP systems (PeopleSoft, InfoEd, Buyways, OnBase, etc.). This includes the creation, tracking, invoicing, reporting, and record management of sponsored awards, which encompasses assigning project numbers, budget entries, and document indexing. Establish new customers in ERP databases as required and manage sub-award purchase orders in the Procurement system. Conduct secondary reviews of awards and modifications and oversee email management for CUSPAA. Assist in the project management closeout phase by documenting closure dates and preparing files for archiving.

20% - Essential - Grant Management and Accounting Support: Prepare journal entries, budget amendments, and other necessary adjustments to support grant accounting and post-award functions. Review select expense transactions on sponsored awards to ensure compliance with established criteria and direct workflows to the appropriate parties. Provide administrative support for sub-award invoicing by processing payments and ensuring checks are deposited or delivered to Accounting Services.

15% - Essential - Data Integrity and Quality Assurance: Conduct verification of regulatory and compliance checks to confirm that necessary approvals are in place prior to sponsored project setup. Ensure that proposed internal budgets align with awarded budgets and collaborate with Pre-Award and Grant Administrators for updates and corrections as needed.

5% - Essential - Records Management and Continuous Improvement: Upload and index documents within the OnBase/InfoEd systems. Provide general support by ensuring that proposal, award, and setup documents are properly recorded in the post-award document system. Foster effective communication and collaboration in a team-oriented environment, leveraging new tools and systems to enhance productivity and reduce errors. Perform other duties as assigned.

MINIMUM REQUIREMENTS:

A bachelor’s degree along with experience in business, personnel management, grant administration, or public administration.

PREFERRED REQUIREMENTS:

Work Experience: A minimum of 2 years in a relevant field.

JOB KNOWLEDGE:

Possess a fundamental understanding of concepts, practices, and procedures applicable to the role.

SUPERVISORY RESPONSIBILITIES:

This position does not include supervisory duties.

BUDGETARY RESPONSIBILITIES:

No fiscal responsibilities for departmental budgets.

PHYSICAL REQUIREMENTS:

90% - Ability to sit for extended periods
100% - Effective communication skills are essential.

WORKING CONDITIONS:

WORK SCHEDULE:

Standard hours are 37.5 per week.

COMPENSATION INFORMATION:

Salary is contingent upon various factors, including prior experience, knowledge, skills, and performance.
