Business Office Manager Job Description

Eastern Star Masonic Retirement Campus is seeking a highly organized and detail-oriented Business Office Manager to oversee the day-to-day business functions of our organization. This role is critical in ensuring the smooth operation of our financial and administrative processes, focusing on payroll processing, Medicaid billing, accounts payable (AP) & accounts receivable (AR), and resident billing and collections.

Key Responsibilities:
  • Payroll Processing: Accurately process payroll through ADP or demonstrate the capability to learn the system quickly. Previous experience in payroll processing is required.
  • Medicaid Billing: Manage all aspects of Medicaid billing, ensuring compliance with regulations and accurate revenue collection.
  • Bookkeeping: Maintain proficiency in general bookkeeping practices, with an understanding of generally recognized accounting principles (GAAP).
  • Accounts Management: Prepare and manage accounts payable (AP) and accounts receivable (AR), ensuring timely and accurate financial transactions.
  • Resident Billing & Collections: Handle all resident rental billing and collections, maintaining clear and accurate records.
  • Resident Funds & Petty Cash: Distribute and maintain resident funds accounts and petty cash programs.
  • Front Desk Supervision: Oversee the front desk Receptionist position, ensuring a welcoming environment for visitors during open hours.
  • Financial Records: Accurately maintain financial records to meet all regulatory standards of the organization.
Qualifications:
  • Experience: Prior experience in business office management practices.
  • Three to five years of direct experience working in the role of Business Office Manager or a related field.
  • Previous experience with a non-profit organization is preferable.
  • Prior experience in healthcare office management is desirable.
  • Experience working with a team of people is a plus.
  • A clear understanding of local, state, and federal business practice regulations is required.
Skills:
  • Strong computer skills, with experience in office management and communication software.
  • Proficient written and verbal communication skills to effectively interact with all parties involved in the organization.
  • Ability to understand and apply statistical data and mathematical concepts to business functions.
  • Strong time management and organizational skills, with the ability to set priorities and accomplish tasks efficiently.
  • Demonstrated ability to make sound decisions and exhibit strong interpersonal skills.

  • Displays mature behavior in attitude, speech, and action.

Work Environment:
  • The employee may occasionally be exposed to blood or other body fluids, fumes, airborne particles, and toxic or caustic chemicals while performing duties.
