Job Description and Duties

We are seeking a highly organized and detail-oriented Legal Secretary to join our dynamic team of criminal prosecutors and legal staff in our Orange Office. As a key member of our team, you will provide critical support to our legal team, ensuring the smooth operation of our office and the successful prosecution of complex criminal cases.

Responsibilities:
  • Provide administrative support to our legal team, including preparing and processing legal documents, managing case files, and coordinating with other departments.
  • Assist with the preparation of discovery, including organizing, indexing, and serving documents to the defense.
  • Use law libraries, computer databases, and software programs to check case citations and quotations, and prepare jury instructions and verdict forms.
  • Notate and calendar staff meetings, court appearances, and statutory deadlines.
  • Transcribe complex dictations, including audio recordings, interviews, and meetings.
  • Provide ProLaw case management support, including adding docket events, reviewing and editing daily reports, and formatting and scanning documents associated with docket events.
  • Track the status of locally and federally prosecuted cases, schedule and finalize case closures, and use state and federal court databases to obtain case information.
  • Assist with reports and ProLaw queries, and offer assistance to the legal analyst as needed.
  • Process invoices and perform other administrative tasks as required.
Requirements:
  • High school diploma or equivalent required; associate's or bachelor's degree in a related field preferred.
  • Minimum 2 years of experience in a legal or administrative support role.
  • Excellent organizational and communication skills, with the ability to work in a fast-paced environment.
  • Proficiency in Microsoft Office and ProLaw software, with the ability to learn new software and systems quickly.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
