Job Summary

We are seeking a highly organized and detail-oriented Purchasing Coordinator to join our team at Northwest Missouri State University. The successful candidate will be responsible for procuring goods and services, processing purchase requisitions, and administering contracts.

Key Responsibilities
  • Process purchase requisitions and place orders in a timely and accurate manner.
  • Collaborate with purchasing staff to ensure procurement processes are completed efficiently and effectively.
  • Research and expedite orders, coordinate returns and credits, and ensure compliance with purchasing policies and applicable statutes and regulations.
  • Effectively communicate purchasing policies and procedures to departments and monitor contract compliance and performance.
  • Utilize ERP software to enter purchase orders, change orders, create vendors, and research purchase orders.
  • Organize and electronically file contracts and procurement documents.
  • Create, update, and format Purchasing Department documents and forms.
  • Collaborate with others to improve Purchasing Department operations and work on Northwest strategic objectives.
Requirements
  • High School diploma
  • Driver's license
  • Microsoft Office Professional software (Word, Excel, Outlook)
  • Excellent customer service orientation, cooperative and able to positively interact with others, strong organizational, analytical, intuitive and problem solving skills, excellent writing, communication and interpersonal skills, highly developed sense of professional ethics and personal integrity and respect in all interactions with others, ability to prioritize and consistently meet assigned deadlines, ability to work independently and as a team, ability to demonstrate a sense of discretion when dealing with confidential matters, ability to remain calm while dealing with difficult situations and individuals.
Working Conditions

Monday through Friday; 8:00 a.m. to 5:00 p.m. with an hour lunch.

Equipment/Materials Used

University-supplied computer, multi-line phone with voicemail system, multi-function device, Microsoft Office Professional software (Word, Excel, Access, Outlook), Ellucian Banner software, Adobe Acrobat Pro software.

Typical Physical Demands

Requires manual dexterity sufficient to operate standard office equipment, light lifting, occasional lifting up to 50 lbs., normal range of hearing and vision.
