Role Overview
As a full-time Customer Service Associate within our Administrative Support Department, you will play a vital role in ensuring exceptional service delivery. Your responsibilities will encompass managing incoming calls, coordinating service requests, and scheduling technician appointments. You will also prepare completed work orders for the invoicing team and follow up on critical accounts to ensure all tasks are completed efficiently. Your role will involve responding to customer inquiries related to pricing, order modifications, payment processing, cancellations, and invoice adjustments. You will collaborate with various departments, including sales and inventory, to address and resolve customer needs effectively. Additionally, you will engage in various data entry tasks, including researching open orders, while presenting our products and services in a manner that reflects our commitment to quality and integrity.
Key Responsibilities
- Manage inbound calls and review customer service history in our database.
- Create and dispatch new service requests promptly.
- Communicate with field Franchise Owners and Technicians to resolve customer inquiries.
- Prepare work orders by generating work order numbers, verifying pricing, and processing payments.
- Generate work order reports to analyze service completion rates.
- Utilize training to address customer inquiries effectively.
- Prepare monthly service schedules for Franchise Owners and Technicians.
What We Seek:
Essential:
- High School Diploma or equivalent.
- 3 to 5 years of experience in customer service within the service sector, including work order creation and dispatch.
- Strong attention to detail and accuracy, with the ability to work under tight deadlines and collaborate across teams.
- Self-motivated individual capable of working independently.
- Typing speed of 85 WPM or higher.
- Proficiency in Excel and Microsoft Office Suite.
- Able to thrive in a fast-paced and dynamic environment.
- Excellent prioritization and time management skills.
- Team-oriented mindset with a willingness to support colleagues and management.
