The Service Writer is pivotal in ensuring customer satisfaction by serving as the primary communication link between clients and our dealership, while also providing essential administrative and operational assistance to the service team.

Key Responsibilities:
  • Customer Interaction:
    • Serve as the main contact for customers at the dealership.
    • Enhance customer satisfaction by promoting sales of labor and parts.
    • Professionally greet walk-in clients and manage incoming calls.
  • Job Coordination:
    • Document, track, and assist in the closure of service jobs.
    • Accurately assess machine warranty statuses and inform customers accordingly.
    • Collaborate with the Service Manager to prioritize daily work schedules and manage parts deliveries.
    • Ensure that repairs are completed within the estimated labor hours.
    • Follow up with the Service Manager for customer approvals on jobs as necessary.
  • Administrative Duties:
    • Process technician time cards and maintain service documentation.
    • Assist the Parts Manager with inventory management and ordering supplies.
    • Support customer orders at the parts counter when needed.
    • Help the Sales department with necessary paperwork, including financial documents.
Additional Responsibilities:
  • Ensure compliance with safety and company policies among service personnel.
  • Verify that final invoices align with service proposals to meet customer expectations.
  • Assist the Service Manager in the overall administration of the Service Department.
  • Support the Parts Manager in managing the Parts Department.
Required Skills and Qualifications:
  • Strong work ethic and proactive approach.
  • Attention to detail with effective problem-solving skills.
  • Proficient in Microsoft Excel and Word.
  • Good mathematical aptitude.
Physical Requirements:
  • Ability to sit for extended periods and reach for phone calls.
  • Capable of reading documents and files on a computer.
  • Effective communication skills via phone and in person.
  • Ability to bend and file paperwork, as well as walk on uneven surfaces.
  • Good hearing to receive communications through various means.
  • Ability to stand for extended periods as required.
Educational Background:
  • High School Diploma or equivalent; relevant experience may be considered in lieu of formal education.
