Job Summary

The Pharmacy Purchasing Specialist is a critical role within the Bassett Healthcare Network, responsible for procuring pharmaceuticals, services, equipment, and supplies in a timely and cost-effective manner. This position ensures the clinical and pharmacy departments are adequately stocked to deliver high-quality care across the network.

Key Responsibilities
  • Procure pharmaceuticals, services, equipment, and supplies in a timely and cost-effective manner
  • Manage daily operations of pharmacy purchasing and inventory control at assigned network locations
  • Order product using best possible source of procurement, achieving contract compliance across multiple purchase accounts and contracts
  • Research back-orders and locate substitute products as necessary
  • Establish and/or use reports for reviewing procurement of pharmaceuticals
  • Order controlled substances based on standard process for ordering and in compliance with DEA requirements
  • Work in conjunction with the Department Operations Coordinator and Pharmacy leadership in the development, justification, and maintenance of the pharmacy budget for inpatient services
  • Monitor drug line expenses monthly and provide appropriate variance reports with corresponding explanations
  • Reconcile quarterly the expected rebates and contract pricing compliance
  • Manage the drug shortage process, provide input into weekly publications, and ensure appropriate communication to pharmacy staff and external customers regarding drug shortages
  • Investigate status of back-orders and, if necessary, locate direct, 503b vendor, and/or secondary suppliers
  • Manage the annual physical inventory of the pharmacy department
  • Monitor pharmacy purchasing compliance and meet key performance indicators for on-contract purchasing to minimize organizational pharmaceutical cost
  • Manage pharmacy purchasing automation systems, including pharmacy wholesaler/dispensing technology interfacing
  • Manage pharmaceutical borrow/loan processes as needed, compliantly with 340b regulations
  • Responsible for compliant program purchasing in assistance with 340B team, including understanding of 340B, GPO, and WAC purchasing
  • Manage 503b vendor outsourced purchasing and evaluate 503b vendors as needed
  • Oversee pharmaceutical reverse distribution and return process and ensure appropriate credits are received from wholesalers and vendors
  • Maintain compliance with Drug Supply Chain Security Act
  • Return pharmaceuticals and radiological for credit as required (i.e., out-dates, overstocks, etc.)
  • Properly maintain all required records for the Purchasing office; demonstrate good organizational skills
  • Assist Pharmacy Leadership with market trend studies and cost analysis
  • Coordinate monthly inter-departmental billing processes to appropriately transfer costs to necessary cost centers
  • Place requisitions and generate purchase orders through Infor for pharmacy department purchases
  • Responsible for management of pharmaceutical recalls, determine levels of recalled medications in stock, and maintain records in accordance with department and regulatory requirements
  • Reconcile vendor invoices with merchandise received, ensure correct pricing with the wholesaler, and report any pricing discrepancies to vendor and Pharmacy Manager
Requirements
  • Education: 2-year/Associate Degree, preferred
  • Experience: Minimum 2 years hospital pharmacy or pharmaceutical purchasing setting, required
  • Licensure/Certifications: Certified Pharmacy Technician, required
  • Skills: Analysis & Evaluation, Computer Skills, Project Management
