Job Title: Mailroom Clerk

Job Summary:
The Mailroom Clerk will be responsible for the efficient processing and delivery of incoming and outgoing US mail and special mails. This role requires strong organizational skills, attention to detail, and excellent communication skills to maintain a professional phone demeanor and interact effectively with diverse backgrounds.

Key Responsibilities:

o Incoming Mail/ Packages:
• Date stamp, sort, and distribute US Mail and special mails (Fed Ex, UPS, Parcel Post, etc.)
• Maintain files, logs, and records on all incoming mail
• Deliver special and rush packages
• Deliver mail to each department, person, or pre-established drop area as required by the client

o Outgoing Mail/ Packages:
• Complete all mailings in a timely manner
• Sort and stamp outgoing mail
• Process outgoing accountable packages
• Operate postage machine according to policy and regulations
• Prepare for mailing Certified, Registered, Insured articles, special mails. Maintain files, logs, and records.

Additional Responsibilities:
• Maintain a clean shipping area and Van
• Communicate with supervisor or client on job or deadline issues
• Assist in orienting new employees to the policies and procedures at the client site
• Utilize software mail applications where applicable
• Answer telephone in Mailroom
• Adhere to C&W Services policies in addition to client site policies
• Use equipment and supplies in a cost-efficient manner
• Utilizing a CMMS system
• Forklift experience (certification preferred)
• Keeping inventory at minimum stock levels
• Perform monthly QTY counts for verification
• Ordering supplies for the team
• Ordering parts for the team
• Keeping tool inventory current
• Keeping equipment lists current
• Keeping logs of supplies purchased
• Any other manager-assigned tasks

Requirements:

o Job Qualifications:
• High school diploma or equivalent
• At least 1 year of work experience in a business environment preferred
• Knowledge of mail equipment and USPS regulations helpful but not required
• Strong interpersonal communication skills required
• Excellent organizational skills required
• Ability to handle sensitive and/or confidential materials
• Attention to detail
• Must work well in a team environment
• Good problem-solving skills necessary, with an ability and understanding of when to escalate a problem to a supervisory level
• Proven customer service skills required in order to create, maintain, and enhance customer relationships
• Must have inventory background
• CMMS Experience preferred
