About the Job

Action For Boston Community Development is seeking an Administrative Assistant I/Billing Clerk to assist with various administrative tasks. This role involves overseeing the day-to-day activities of a large and important organizational segment, ensuring compliance with relevant laws, regulations and policies, and performing miscellaneous administrative tasks.

The successful candidate will promote the mission of ABCD Head Start & Children's Services, building an understanding of the program by communicating this mission to staff, families and the community.

  • The Administrative Assistant I/Billing Clerk maintains departmental records for miscellaneous correspondence, telephone conversations and in-house communications.
  • Works closely with other departments concerning purchasing, personnel, payroll and other administrative matters.
  • Performs miscellaneous administrative tasks such as coordinating the use of office space by other departments, scheduling meetings, record-keeping, filing, etc.
  • Reviews and analyzes the division's operations and develops suggestions for improvement.
  • Handles administrative paperwork as needed.
  • Assesses monthly parent fees and fees collected, logs weekly parent fee charges and payments, follows up with parents regarding payments, gives Program Director pertinent information needed for monthly report.
  • Assists families with filling out applications for enrollment.
  • Assists clients with correspondence needs.
  • Ensures all important communications are translated for non-English speaking parents.
  • Ensures that the Parent Committee has all its information, bylaws, agendas, minutes, space and funds to properly function at its meetings; and that staff have worked to encourage and support members in attending meetings; and when they are absent that these members are provided with information about the meeting in a timely, accurate way.

Duties:

  • Complying with relevant laws, regulations and policies.
  • Coordinating administrative tasks and providing support to staff.
  • Maintaining accurate records and documentation.
  • Providing translation services for non-English speaking parents.
  • Assisting families with enrollment applications and correspondence needs.
