Objective

The primary role of this position is to assist customers with inquiries related to their accounts, ensuring that all interactions are handled promptly, courteously, and effectively. This individual will also support various administrative tasks that are essential for the smooth operation of different departments, including the processing of invoices and property tax submissions.
Responsibilities
  • Address customer inquiries and resolve any issues they may face.
  • Provide customers with pertinent information regarding their accounts.
  • Maintain a tidy and organized workspace.
  • Gather credit reports for new clients.
  • Contact trade references for new customer verification.
  • Facilitate the delivery of credit documentation to the Manager for new account evaluations.
  • Input and scan documents, track progress, and assist in both the initiation of new accounts and the upkeep of existing ones.
  • Retrieve historical data concerning current and former customers.
  • Support the Manager in the swift setup of new accounts and relay account statuses to branches and sales teams.
  • Ensure Certificates of Insurance are entered into the system and verify their correctness.
  • Assist the IT department with the distribution of multi-page invoices and for customers with multiple invoices.
  • Help colleagues in the department by investigating historical transactions in customer accounts, particularly after monthly statements are sent out.
  • Identify the necessity for COD accounts and communicate these needs to the Manager.
  • Prepare, stuff, and send out monthly customer statements.
Qualifications
  • Knowledge and skills typically gained through a high school education supplemented with technical training.
  • A minimum of 2 years of experience in a full-time customer service role.
  • Strong interpersonal skills and the ability to collaborate effectively within a team.
  • Exceptional customer service abilities.
  • Excellent communication skills, demonstrating a high level of tact, diplomacy, and discretion.
  • Outstanding organizational capabilities.
  • Must present a friendly, professional, and knowledgeable demeanor to customers, with a sense of urgency.
  • Must respond to all customer and internal inquiries in a timely manner.
  • Should quickly acquire an understanding of general Accounts Receivable and Accounts Payable processes, as well as the parameters and procedures for open accounts, including credit reports, guarantees, corporate practices, sales tax exemptions, insurance requirements, ACCORD forms, and other fundamental business transactions.
