Compensation: Approximately $26.16 per hour. Individual pay rates are determined based on the candidate's experience and internal equity.
Role Overview:

Work Schedule: Monday to Friday with evening shifts.
Act as the main operational support for the clinic, ensuring a positive experience for patients while handling various non-management tasks.
KEY RESPONSIBILITIES:
Front Desk Responsibilities:
- Understand patient insurance terminology, eligibility, and accepted plans, including Medicare, Medicaid, and commercial programs.
- Efficiently manage payment collections and adhere to cash handling protocols.
- Maintain an organized clinic schedule and manage appointments effectively.
- Deliver exceptional customer service while respecting cultural sensitivities and confidentiality.
- Follow proper telephone etiquette for patient and staff communications.
- Initiate and maintain electronic medical records, ensuring accurate patient registration and updates.
- Engage patients with My Clinica Connection actively.
- Address patient inquiries by providing clear information about policies and procedures.
- Monitor the lobby area for security, safety, and cleanliness in collaboration with security personnel.
- Serve as the first point of contact for de-escalating challenging patient situations.
- Report any signs of abuse or neglect to management immediately.
- Assist the clinical team with administrative tasks and care initiatives.
- Oversee the visitor check-in process.
- Handle routine lab-related phone calls to patients.
- Guide patients in completing registration forms.
- Conduct daily outreach based on care planner alerts and other directives.
- Manage all outgoing correspondence for the clinic.
- Participate in organizational workgroups or committees as needed.
- Understand financial enrollment basics and refer as necessary.
- Receive and manage lab specimens appropriately.
- Complete daily EMR tasks as required.
- Provide backup support to the Office Manager and Clinic Operations Manager.
- Order and maintain medical and office supplies.
- Oversee inventory and storage areas.
- Assist with bank deposits and monitor clinic cash flow.
- Maintain patient education materials.
- Support compliance-related tasks as directed by management.
- Assist in training new staff and promote safety and education among current employees.
- Help orient new employees to clinic procedures.
- Proactively address unresolved requests and situations.
- Respond to patient inquiries regarding policies and procedures.
- Conduct outreach using the Open Referral Report to gather necessary information.
- Update and track all referrals according to internal protocols.
- Perform scanning and data entry of medical records.
- Process requests for medical records efficiently.
- Manage incoming and outgoing faxes while adhering to confidentiality standards.
- Act as a HIPAA Subject Matter Expert.
- Complete required safety and compliance tasks.
- Receive and store vaccines properly.
- Conduct routine safety checks.
- Ensure accurate patient record matching.
- Coordinate facility and equipment repair requests.
- Serve as the point of contact for external vendors.
- Manage incoming mail.
- Maintain knowledge of relevant regulations and seek clarification when needed.
Education and Experience:
- High School diploma or GED is required.
- Proficiency in Microsoft Outlook, Word, and Excel is preferred.
- Bilingual in Spanish and English.
- Basic computer, math, written, and verbal communication skills.
- Strong customer service and organizational abilities.
- Awareness of the needs of low-income and ethnic minority communities.
- Ability to thrive in a team-oriented environment.
- Capability to work under pressure, multitask, and prioritize effectively.
