Job Title: Operations Assistant
We are seeking a highly skilled and experienced Operations Assistant to join our team at Combined Insurance Services Of Nort. This role will be responsible for providing administrative support to ensure efficient operation of the front desk and associated tasks.

Key Responsibilities:
- • Operate the telephone to answer, screen, or forward calls, providing information, taking messages, and other similar tasks.
• Greet customers and visitors as the first point of contact, providing a warm and welcoming atmosphere.
• Assist with inquiries, directing calls and visitors to the appropriate resources or personnel.
• Provide courteous and professional information and service to all clients and employees, fostering positive relationships and ensuring satisfaction.
• Transmit information or documents to customers, using email, mail, and fax machine.
• Receive, sort, and distribute the mail.
• Download carrier bulletins, invoices, and claims reports for level funded groups as necessary or scheduled.
• Maintain office supplies.
• Assist client employees with claim issues, ensuring prompt and effective resolution.
• Administer additions and terminations for groups, maintaining accurate records.
• Create renewal folders for clients and other administrative tasks as directed.
• Prepare and send federal notices.
• Update Benefits Guide for individual accounts, such as benefit policies, commission schedules, and policy numbers.
• Add new individual policies for Florida Blue and Humana to Benefits Guide.
• Effectively use Benefits Guide, Outlook, Microsoft Office, and other relevant computer programs to perform job responsibilities efficiently.
• Document actions and phone calls in Benefits Guide setting follow up reminders as needed.
• Collaborate effectively with colleagues to achieve common goals and support a positive work environment.
Requirements:
- • 2 years of administrative experience.
• Professional demeanor.
• Knowledge of office management systems and procedures.
• Excellent time management skills and the ability to prioritize work.
• Accuracy, attention to detail, and problem-solving skills
• Strong organizational skills.
• Proficient in MS Office
• High school diploma or equivalent
• Effectively communicate by phone, in person, and electronically
• Ability to obtain 2-15 license
The estimated salary range for this position is $45,000 - $60,000 per year, depending on qualifications and experience.
