Job Summary

The successful candidate will be responsible for managing all aspects of client billing, including preparing invoices, maintaining billing information, and verifying billing against accounts receivable ledger.

Key Responsibilities
  • Client Billing Management: Utilize STAR Software, Intacct, and contract specifications to prepare monthly client invoices, ensuring accuracy and timeliness.
  • Billing Information Maintenance: Maintain billing information in STAR Software, including bill rates, client codes, service codes, and other relevant details.
  • Verification and Reporting: Verify billing against accounts receivable ledger and prepare reports on a scheduled and ad-hoc basis as required or requested by internal customers.
  • Special Projects: Assist with special projects as required, demonstrating flexibility and a willingness to adapt to changing priorities.
Essential Functions
  • Data Extraction and Analysis: Extract relevant data from databases for analysis against contract specifications, ensuring accuracy and attention to detail.
  • Communication and Issue Resolution: Communicate issues and discrepancies to appropriate managers in a timely fashion, relaying billing recommendations to maximize client-billing potential.
  • Invoice Mailing and Client Inquiries: Mail invoices in a timely manner and respond to client and employee inquiries regarding invoices, resolving any discrepancies.
  • Accounts Receivable Management: Review aged Accounts Receivable reports to determine accounts requiring follow-up, discuss non-payments with managers to determine next collection steps, and perform collection calls when necessary.
  • Insurance and Compliance: Maintain professional insurance records for the firm, notify public entity clients of insurance held by the firm in fulfillment of contract requirements, and identify and recommend improvements to the company's billing system.
Requirements
  • Education and Experience: Bachelor's degree (B.S.) or equivalent, minimum of 5 years related experience, or equivalent combination of education and experience, with knowledge of accounting software packages, such as STAR Time & Billing, Sage Intacct, Deltek.
  • Skills and Abilities: Excellent verbal and written communication skills, intermediate to advanced skill set with Microsoft Office, heavy on Excel, strong familiarity with databases, and proven ability to extract and manipulate data.
  • Personal Qualities: Commitment to excellence and high standards, acute attention to detail, strong organizational, problem-solving, and analytical skills, ability to manage priorities and workflow, and good judgment with the ability to make timely and sound decisions.
