Job Description

The Facilities Coordinator serves as a key member of the Restaurant Repair and Maintenance team, responsible for planning, organizing, and executing administrative tasks. This includes maintaining accurate statuses, contact information, and alignments within the Work Order system, supporting new restaurant opening tasks, and auditing databases for accuracy.

This role requires excellent communication skills, both internally and externally, to facilitate collaboration between restaurants, RSO crew, and vendors. The successful candidate will be proficient in using CMMS, Workday, SharePoint, Smartsheet's, and DocuSign, with strong analytical, written, and verbal communication skills.

Responsibilities
  • Maintain and update statuses, contact information, and alignments within the Work Order system to ensure accuracy.
  • Support new restaurant opening tasks, communicating with service providers, data mining, and addressing support needs.
  • Audit and update databases to ensure accuracy and address support needs.
  • Create and modify scheduled services within work schedules.
  • Assign, retire, add, and remove service providers from systems as needed.
  • Support email, phone, and service channel activities related to technical issues, pricing updates, frequency changes, scope changes, and other needs.
  • Facilitate communication with internal and external business partners to coordinate services, share schedules, and maintain program scopes and services.
  • Complete contracts for onboarded service providers and maintain the database of active providers.
  • Reconcile and process invoices, including invoice capture and account reconciliation.
  • Support internal and external users of the work order system.
  • Maintain contract records and COI renewals.
  • Support facilities projects, tests, and yearly service programs by tracking, creating WOs, staging communications, and assisting providers and crew.
