About the Role

The Front Desk Associate is responsible for being the first point of contact for patients as they arrive at the medical center. This role requires a high level of professionalism, excellent communication skills, and the ability to engage with patients and colleagues in a positive and respectful manner.

Key Responsibilities:
  • Greet patients and guests in a warm and welcoming manner
  • Conduct the check-in process and check-out process via Electronic Health Record
  • Aid patients with the completion of required paperwork
  • Secure patient information and maintain patient confidentiality
  • Schedule and triage appointment requests according to approved protocols
  • Make reminder calls to patients for upcoming appointments
  • Collect co-payments from patients according to their health plan requirements
  • Complete insurance verification prior to patient appointments
  • Answer all phone calls and route them to the appropriate personnel
  • Update the Electronic Health Record with current patient information
  • Consult with medical assistants or licensed clinicians as needed for clinical decision-making
  • Use the Electronic Health Record to take messages and communicate with clinicians
  • Monitor daily reminder call logs to reschedule appointments as needed
  • Scan and index documents into the EHR to ensure that necessary documents and lab results are available in advance of patient visits
  • Participate in center and market interdisciplinary teams related to patient care plans and outcomes
  • Aid coworkers as needed to ensure smooth office operations and delivery of excellent service through teamwork
  • Address patient problems and concerns as they arise
  • Perform other duties as assigned
Qualifications:
  • Office administrative experience in a fast-paced, high-volume environment
  • Professional demeanor and communication skills
  • Organizational skills and attention to detail
  • Ability to manage competing priorities
  • Resourcefulness in problem-solving
  • Able to take and follow through with assigned tasks and accountability
  • Ability to work in a fast-paced environment
  • Experience with Microsoft Office Word, Outlook, and Excel
Preferred Qualifications:
  • High School Diploma or equivalent
  • Experience working with an electronic health record
  • Experience in processing referral authorizations
  • Medical office or hospital patient access registration experience
  • Experience working in medically underserved or culturally diverse communities
  • Knowledge of medical terminology
  • Knowledge of ICD-20 and CPT coding
  • Bilingual Spanish and English
