We are seeking a highly organized and detail-oriented Project Coordinator to join our team at Industrial Access Bulk Materials. The ideal candidate will play a crucial role in supporting our field technicians and facilitating seamless communication between field crews, in-house operations, and sales departments, with a strong focus on data accuracy and organization in all aspects of project coordination.

The Project Coordinator will ensure the smooth operation of our projects by taking charge of critical responsibilities, including maintaining meticulous project documentation, obtaining Certificates of Insurance / compiling employee lists, and ensuring employee records are accurate. This role demands precision in daily data entry, including tracking payroll hours from Job Hazard Analyses (JHAs), itemizing the scope of field work completed, and handling daily billings for each project. Additionally, the candidate will be responsible for coding credit card transactions for field employees to ensure accurate cost tracking for all projects, and for orchestrating travel logistics with a high level of attention to detail.

Key Responsibilities:
  • Maintain detailed project documentation, including daily hours from JHAs, itemization of field work completed, and daily billings for each project, ensuring all data is accurately recorded.
  • Perform precise data entry and tracking to ensure accurate record-keeping and billing for ongoing and completed projects.
  • Obtain, track, and update Certificates of Insurance (COIs), ensuring compliance with project requirements.
  • Ensure employee records, including certifications, training, and timekeeping, are accurate and up-to-date.
  • Code and manage credit card transactions for field employees, ensuring accurate cost tracking and allocation to specific projects.
  • Coordinate travel logistics for field technicians, including flights, hotels, rental cars, and ride shares, ensuring all arrangements are made with a high level of attention to detail.
  • Be available after hours, nights, and weekends to assist with urgent travel arrangements and handle any emergencies on the road.
  • Assist with order entry and inventory record maintenance for field supplies and equipment.
  • Compose and manage daily, weekly, and monthly project correspondence, supporting communication between field, office, and sales teams.
  • Proofread and edit documents for accuracy and compliance.
  • Utilize Microsoft Suite applications for data entry, document management, and internal reporting.
  • Provide general clerical support, including filing, photocopying, and organizing office documents.
Requirements:
  • Strong organizational skills and exceptional attention to detail, especially in data entry.
  • Proficiency in accurately entering and managing data related to hours, project scope, and billing.
  • Excellent communication and interpersonal skills.
  • Proficient in Microsoft Suite (Word, Excel, Outlook, etc.) and other relevant software.
  • Ability to multitask and prioritize tasks in a fast-paced environment.
  • Experience in handling travel arrangements and compliance with travel policies.
  • Willingness to be dependable and available for after-hours, night, and weekend assistance for emergencies and travel logistics.
  • Familiarity with the industrial or construction field is a plus.
