About the Role

We are seeking a highly organized and detail-oriented Marketing & Events Assistant to join our team at the Petersen Automotive Museum Foundation. As a key member of our marketing and events team, you will play a crucial role in planning, coordinating, and executing premium events, including vehicle rallies, cruise-ins, and other high-profile automotive experiences.

Key Responsibilities
  • Event Planning & Execution: Assist in the planning, coordination, and execution of premium events, including vehicle rallies, cruise-ins, and other related experiences.
  • Collaboration & Communication: Collaborate with internal teams and external vendors to ensure all logistical details are managed efficiently. Manage the outreach to participants, sponsors, and museum partners to obtain information and create materials, schedules, and communication before and after events.
  • Project Management: Develop detailed event plans, including schedules, resource allocation, and contingency planning. Assist on-site event operations to ensure smooth execution and provide exceptional experiences for attendees.
  • Partnership Coordination: Provide administrative support for sponsors and partners, ensuring mutual satisfaction. Assist in the delivery, tracking, and reporting on contract deliverables for sponsors and partners, ensuring all commitments are met on time and within scope.
  • Reporting & Analysis: Prepare detailed reports on event outcomes, partnership deliverables, and overall project performance. Analyze event and partnership data to identify trends, opportunities for improvement, and areas for growth.
Requirements
  • 3+ years of experience in event planning, project management, or partnership coordination.
  • Strong organizational skills with the ability to manage multiple projects simultaneously.
  • Excellent communication and interpersonal skills, with the ability to build and maintain relationships with diverse stakeholders.
  • Proven track record of successfully seeing projects through to completion, managing events, and delivering on partnership commitments.
  • Ability to work under pressure and meet tight deadlines.
  • Passion for the automotive industry is a plus.
Working Conditions
  • Ability to travel as required for events.
  • Flexibility to work evenings and weekends as needed to support event execution.
