Overview

The successful candidate will be a meticulous team player, serving as the initial point of contact for all visitors, ensuring they are welcomed in a courteous and articulate manner. Additional responsibilities will include various administrative tasks such as managing mail flow and providing clerical support as needed.

Key Responsibilities

  • Handles and routes incoming calls to the appropriate staff and voicemail systems.
  • Welcomes and announces clients, applicants, and visitors, adhering to security protocols for guest registration. Coordinates escorts when necessary and issues visitor passes.
  • Assists in the scheduling and preparation of meeting and conference rooms, ensuring all setups are completed efficiently.
  • Performs clerical duties related to the distribution of office faxes, packages, and mail as required, utilizing tracking systems for courier and mail management.
  • Arranges messenger services as necessary, following security protocols for incoming deliveries.
  • Orders and maintains inventory of office supplies and commonly used items, including café supplies and printing materials.
  • Ensures the reception area, conference rooms, café, and other communal spaces are kept tidy and presentable.
  • Keeps records and logs of service requests, tracking their progress and status.
  • Maintains a directory of services, including transportation options, accommodations, and referral contacts.

Qualifications

  • Previous experience in Front Desk, Concierge, customer service, or hospitality roles is preferred.
  • Proficient in Microsoft Office Suite.
  • Ability to understand and interpret instructions, short correspondence, and memos, with a willingness to ask questions for clarity.
  • Capable of writing routine reports and correspondence.
  • Ability to address common inquiries or complaints from clients and colleagues with a strong emphasis on professional customer service.
