At Tufts University, we are proud to host the largest mobile large animal veterinary practice in the Northeast.
Our dedicated team of veterinarians conducts approximately 4,800 farm visits annually, providing care to a diverse range of animals including over 50,000 cattle, 2,500 horses, 1,000 sheep, 1,500 goats, and 500 llamas or alpacas.
The Department of Ambulatory Medicine and Theriogenology (DAMT) serves as the academic foundation for our veterinary field service.We are committed to promoting the health and welfare of farm and large companion animals through sustainable husbandry practices and preventive medical care.
By exemplifying evidence-based veterinary care and guiding animal caretakers in these principles, we enhance the sustainability of both commercial and private agricultural operations while providing our students with invaluable hands-on experience.
Our educational programs focus on training professional and graduate students in the prevention, diagnosis, and treatment of diseases affecting agricultural animals and horses.Key Responsibilities:
As a Veterinary Client Services Coordinator, you will play a vital role in the success of our practice.
The ideal candidate will possess knowledge and experience typically gained through personal or professional interactions with livestock, particularly cattle, sheep, and goats.
In this position, you will deliver exceptional customer service to our clients while providing high-quality administrative support to our veterinarians, faculty, and students.
In your role, you will:Manage a dynamic and frequently changing schedule for a busy multi-species and multi-disciplinary veterinary practice.
Review and adjust clinician schedules for optimal geographic efficiency and availability throughout the day.
Organize multiple schedules to prioritize ongoing commitments, ensuring accurate daily management of appointments, student assignments, and meetings related to clinical and academic responsibilities.
Effectively coordinate veterinarians' clinical schedules; handle general inquiries regarding clinic services. Schedule and confirm farm visits; ensure pre-appointment verification of scheduled services.
Accurately relay messages for veterinarians and direct them appropriately.
Manage various aspects of practice management software and maintain paper medical records, including:
Assisting with patient intake and discharge processes.
Preparing health certificates, Coggins forms, and vaccination documentation.
Communicating laboratory results as requested by veterinarians.
Requesting records and information from other veterinary facilities.
Uploading lab results and other documents into electronic patient files.
Preparing necessary paperwork, service requests, and discharge orders as needed.
Preparing medical records for new patients ahead of their appointments, as required.
Support office administrative tasks, including document scanning, filing, sorting mail, and unpacking deliveries.
Monitor general email communications and respond to client inquiries promptly and professionally.
Collaborate with other support staff to cross-train and cover busy periods, including scheduled and unscheduled absences.
Cross-Training Duties Include:
Packaging and shipping biological samples and client pharmacy orders.
Laundry processing.
Payment processing, both in-person and via phone.
Billing through practice management software.
Providing cost estimates for veterinary care.
Other responsibilities as assigned by senior support staff and the Practice Administrator.
Qualifications:
Basic Requirements:
High School Diploma/GED with 2-4 years of administrative and practical experience in animal agriculture, veterinary, or medical settings.
Familiarity with veterinary and medical terminology, pharmacology, and animal behavior.
Demonstrated knowledge of the geographical area served by our practice.
Proficient computer skills, including familiarity with Microsoft Office and the ability to learn practice management software.
Possession of a valid U.S. Driver's License.
Preferred Qualifications:
AA/AS degree in Animal Science or Veterinary Technology preferred, along with 1-3 years of related experience.
Knowledge and experience with livestock species including cows, goats, sheep, alpacas, llamas, and pigs.
Ability to work independently and collaboratively within a diverse team of clinical and administrative professionals, demonstrating resourcefulness and a solution-oriented mindset.
Highly motivated, self-starter with an enthusiastic, genuine, and empathetic demeanor, maintaining a positive professional attitude.
Exceptional interpersonal and communication skills, both in person and over the phone.
Ability to maintain focus in a busy office environment and adapt priorities as needed.
Demonstrated attention to detail and accuracy in performing job responsibilities.
