Job Summary

We are seeking a highly skilled Corporate Support Specialist to join our team. This role will provide comprehensive administrative assistance to the Site Operations Team, including Workplace Services and Planning, Hard Services, Gaithersburg SHE (Safety, Health, and Environment), and Site Engagement etc.

The ideal candidate will have excellent ability to prioritize tasks and manage multiple responsibilities efficiently. Strong attention to detail and accuracy in documentation and reporting are essential. Exceptional verbal and written communication skills are also required to effectively communicate with team members, executives, and external stakeholders.

In addition, the successful candidate will be proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and have strong analytical and problem-solving abilities. They will also have excellent time management skills to handle competing priorities and meet deadlines.

Responsibilities:
  • Provide comprehensive administrative assistance to the Site Operations Team.
  • Arrange and reserve conference rooms, catering, audio/video and other essential services as needed for meetings.
  • Multitask effectively in a fast-paced and ever-changing work environment.
  • Prepare and edit correspondence, communications, presentations, and other documents.
  • Serve as a liaison between the site operations team and internal/external stakeholders.
  • Facilitate effective communication and coordination among team members and departments.
  • Organize and coordinate meetings, including preparing agendas and taking minutes.
  • Implement best practices and innovative solutions to enhance site operations support.
  • Provide administrative support to senior leadership and team, not limited to calendar management and meeting planning.
  • Onboard new site operations team members, ensuring all access requirements are met before their arrival.
Requirements:
  • Excellent ability to prioritize tasks and manage multiple responsibilities efficiently.
  • Strong attention to detail and accuracy in documentation and reporting.
  • Exceptional verbal and written communication skills.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

Salary and Benefits

The estimated salary range for this position is $54,000 - $58,000 per year, depending on experience.
