Position Overview: The Recruitment Operations Specialist plays a crucial role in supporting the Talent Acquisition team by managing administrative functions, organizing interviews, and facilitating candidate interactions. This position is essential for maintaining an efficient recruitment workflow and ensuring a positive experience for both candidates and hiring managers.

Key Responsibilities:

Recruitment Assistance: Handle contractor transitions

  • Oversee requisition requests, arrange intake meetings for recruiters and hiring managers, and finalize the process.
  • Provide sourcing support as needed.

Candidate Engagement: Communicate with candidates throughout the hiring process, offering timely updates and fostering a positive experience.

  • Send notifications to hiring managers regarding candidate readiness.
  • Inform candidates of their background check results and I-9 completion.
  • Distribute monthly referral requests to new employees.

Interview Management: Coordinate and schedule interviews between candidates and hiring managers, ensuring all logistical details are handled effectively.

Administrative Duties: Assist in creating recruitment marketing materials, maintaining the applicant tracking system (ATS), and performing other administrative tasks as required.

Reference Verification: Conduct reference checks for candidates when necessary.

Onboarding Assistance: Support the onboarding process for new hires as needed.

Recruitment Analytics: Generate weekly reports to monitor the progress and success of recruitment initiatives.

Job Fairs and Recruitment Events: Aid in the planning and execution of job fairs and recruitment events, representing the organization and enhancing its brand.

  • Assist with scheduling high-volume interviews with HR and Finance, particularly for days with multiple interviewers.

Process Enhancement: Identify and implement opportunities to streamline recruitment processes and contribute to best practices.

Qualifications & Requirements:

  • Bachelor's degree in Human Resources, Business Administration, or a related discipline is preferred.
  • 1-2 years of experience in recruitment or HR administration.
  • Strong organizational and multitasking abilities.
  • Excellent communication and interpersonal skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Familiarity with applicant tracking systems (ATS) and HR software.
  • Ability to thrive in a fast-paced environment.
  • Detail-oriented with a commitment to accuracy.

Working Conditions:
